Why the Choice of Dashboard Software Matters
Most teams do not need a business intelligence project. They need the same ten numbers in front of the same people every day: pipeline for sales, ticket backlog for support, signups and ad spend for marketing, orders for operations. The tool you choose decides how fresh those numbers are, who can see them, and whether the office TV shows today's data or yesterday's.
The market splits into two kinds of product, and buying the wrong kind is the most common mistake.
KPI dashboard tools (Geckoboard, Databox, Klipfolio) connect directly to SaaS apps such as HubSpot, Salesforce, Zendesk, Google Analytics and Google Sheets, turn their data into ready-made metrics, and put those metrics on a dashboard that anyone can read. There is little or no data modeling, and nobody has to write SQL.
Full BI platforms (Power BI, Domo, and Data Studio at the lighter end) are built for analysis. They model data, join tables, handle large datasets and answer ad hoc questions. They produce excellent dashboards, but someone (usually an analyst) has to build and maintain the data model behind them.
Five practical differences decide which side of that line you belong on:
- Data source limits. Some tools cap how many sources you can connect per plan, and count every account separately. Databox, for example, counts each account or property as one source, so three GA4 properties use three of your sources.
- Refresh rates. "Live" means very different things. One tool updates most metrics within minutes on every plan; another refreshes every four hours on its entry plan; Power BI Pro allows 8 dataset refreshes a day.
- Viewer pricing. Per-user pricing is fine for analysts and painful for a 40-person sales floor.
- TV and wall displays. A wall dashboard must be readable across a room, refresh on its own, and not need a licensed login on the TV.
- Free plans. One of the six tools here (Data Studio) is free for a whole team, two have free tiers limited to a single user with no sharing (Databox and Power BI), and three have trials only.
This guide compares six tools on those points, using pricing and limits taken from each vendor's own website in October 2026. All prices are in USD.
Geckoboard review
Geckoboard is built for one job: putting a team's key numbers on a shared screen. The vendor says its TV dashboards need "no analyst or BI project". You connect a tool, pick ready-made metrics, filter them to your team and arrange them in a layout readable from across a room.
Key features
- TV dashboards and screens. Pair a browser-connected TV with a code or use a secure sharing link, with no specialist hardware or signage software. Swap what each screen shows remotely.
- Loops. Rotate several dashboards on one screen on a timer, so a single TV can show sales, support and marketing in turn.
- Real-time updates where available. Geckoboard says some metrics update instantly and others every few minutes, depending on the integration. Real-time updates are included on every plan.
- 90+ integrations (HubSpot, Salesforce, Zendesk and more), plus Google Sheets, Excel and a Datasets API. Integrations are unlimited on all plans.
- Sharing and snapshots. Sharing links, view-only users when you want password protection, and scheduled snapshots to Slack, Microsoft Teams or email.
- Leaderboards, goals and celebrations (alerts and celebrations are on Performance).
Pricing
- Essentials: from $79/month billed annually. 2 dashboards (+$24/month each), 1 editor (+$20 each), 1 TV screen (+$20 each), unlimited viewers, support response in under 24 hours. Custom theme and logo is $40 extra.
- Performance: from $319/month billed annually. 20 dashboards, 3 editors, 5 screens, unlimited viewers, plus alerts, celebrations, drilldown into source data, custom templates, folders, custom themes and support response in under an hour.
- Enterprise: custom pricing, billed annually. Adds SSO, audit logs, data import controls, a metric-building service and a dedicated support manager.
- No free plan. A 14-day free trial is available. Annual billing saves 20% compared with monthly. Non-profits get 20% off any plan. Prices exclude VAT.
Pros
- Unlimited viewers on every plan, and viewers of sharing links or TV screens do not need a Geckoboard account
- Purpose-built TV features: pairing, remote control and rotating Loops
- Real-time updates included on every plan, with no refresh-rate tiers
- Fast to set up from pre-built metrics, with no modeling or SQL
Cons
- No free plan, and Essentials includes only 2 dashboards, 1 editor and 1 screen before add-ons
- Not built for ad hoc analysis, joins or large data models
- Data volume limits apply to the Aircall, Shopify and Zendesk Support integrations, so high-volume accounts may need an add-on
Who should use it: Sales floors, support teams, operations and leadership teams that want live KPIs on office TVs and in Slack, set up and maintained by a team lead rather than an analyst.
Who should avoid it: Teams that need to explore data or join many tables; a BI platform fits better.
Databox review
Databox started as a KPI dashboard tool for marketers and agencies and has been rebuilt around AI. Plans now bundle drag-and-drop dashboards with Genie, an AI analyst that answers plain-language questions, plus goals, anomaly detection and a governed semantic layer.
Key features
- 130+ integrations covering marketing, sales and finance tools, spreadsheets, databases and APIs. Custom integrations (Google Sheets, Excel, SQL and NoSQL databases, APIs) start on the Analyst plan.
- Genie AI analyst for plain-language questions, AI-generated performance summaries, and Genie in Slack on Team plans and above. AI features consume monthly AI credits.
- Goals and anomaly detection on every plan, including Free.
- Sharing and notifications (links, TV, embeds, scorecards, alerts, scheduled snapshots and weekly updates) on Team, Agency and Custom plans.
- MCP server and API from the Analyst plan, to connect Databox metrics to AI tools such as ChatGPT or Claude.
Pricing
- Free: $0 forever. 1 user, 3 data sources, 1 dashboard, 10 custom metrics, 50 AI credits/month, daily sync.
- Analyst: $71/month billed annually. 1 user, 5 data sources, unlimited dashboards and reports, unlimited custom metrics, 150 AI credits, hourly sync, custom integrations, API and MCP server.
- Team Core: $199/month billed annually or $249 billed monthly. 3 users, 10 data sources, 500 AI credits, hourly sync.
- Team Scale: $319/month billed annually or $399 billed monthly. 10 users, 30 data sources, 1,000 AI credits, separate accounts.
- Agency: from $79/month billed annually, with unlimited users, 20 data sources and 300 AI credits, plus account packs (each adds 1 account, 5 data sources and 50 AI credits).
- Custom: quote, includes implementation services.
- Add-ons: AI credit top-up $200/month, white-labeling $80/month, advanced security (SSO and 2FA enforcement) $40/month, fiscal calendar $160/month, OKRs $14/month, and 15-minute sync for selected sources (price varies). Any plan can be trialed for 14 days. Annual billing saves 20%.
Pros
- A genuinely usable free plan for one person
- Flat pricing: Databox does not charge per seat
- AI analyst, goals and anomaly detection go beyond static dashboards
- Agency plan with unlimited users is built for client reporting
Cons
- Data source caps are tight, and every account or property counts as a separate source
- Maximum sync is hourly on paid plans (daily on Free) unless you buy the 15-minute add-on
- Sharing, TV display and notifications are not included on Free or Analyst, so a team needs Team Core at $199/month or more
Who should use it: Marketing teams, growth teams and agencies reporting across HubSpot, GA4, ad platforms and similar SaaS tools, especially those who want AI summaries and goal tracking alongside dashboards.
Who should avoid it: Teams that need minute-by-minute numbers on a wall screen, or companies with many data source accounts that would blow through the caps.
Klipfolio review
Klipfolio now sells two separate products, and it helps to treat them as two tools.
Klips is the long-running dashboard builder. A spreadsheet-like formula language shapes the data, which makes it very flexible. It has flat pricing with unlimited users; plans differ by dashboard count and refresh rate.
PowerMetrics is a metric-centric product sold separately at powermetrics.app. You define metrics once and reuse them across dashboards. It is priced per user.
Key features
- Klips: 130+ data integrations plus a REST/URL connector that Klipfolio says customers use to connect hundreds more sources.
- Klips: data modeling and joins, PDF reports, a template gallery and your own logo on every plan.
- Klips: published links (Grow and above) for view-only access via a public or private, optionally password-protected URL, plus scheduled reports.
- PowerMetrics: metric catalog and AI, with PowerMetrics AI and data feed integration on Launch, and data warehouse integration (Snowflake, BigQuery, Databricks, PostgreSQL, Redshift and others), semantic layer integration, an MCP server and metrics API on Professional.
Pricing: Klips (unlimited users on every plan)
- Base: $120/month billed annually or $140 billed monthly. 3 dashboards, 4-hour data refresh.
- Grow: $190/month billed annually or $220 billed monthly. 10 dashboards, 1-hour refresh, published links, scheduled reports.
- Team: $310/month billed annually or $350 billed monthly. 20 dashboards, 15-minute refresh, SSO, warm-up refresh.
- Team+: $600/month billed annually or $690 billed monthly. 40 dashboards, up-to-the-minute refresh, 6 hours of custom onboarding, priority support.
- Add-ons (annual) include extra dashboards at $8/month each and a white-label bundle at $299/month. 14-day free trial, no credit card.
Pricing: PowerMetrics (per user, billed annually)
- Launch: $24/user/month, starting at 2 users. 50 metrics, 4-hour refresh.
- Professional: $35/user/month, starting at 3 users. 200 metrics, 1-hour refresh (optional 15 minutes), warehouse and semantic layer integration, published views.
- Custom: quote, annual only, with enterprise SSO, SLA and private tenancy.
- No free plan; 30-day free trial.
Pros
- Unlimited users on every Klips plan, so viewer count never changes the bill
- The most customizable dashboards among the KPI tools here
- Clear refresh tiers, up to every minute on Team+
- PowerMetrics gives a warehouse-friendly path for teams that outgrow app connectors
Cons
- The Klips formula language takes time to learn; it is the least "no data team" tool of the three KPI products
- Base refreshes only every 4 hours and lacks published links, so most teams need Grow or higher
- Two products with different pricing models can confuse buyers
Who should use it: Teams with a technically comfortable owner (an ops lead, a marketing analyst, an agency) who want custom dashboards shared with many people at a flat price.
Who should avoid it: Teams that want plug-and-play metrics with no configuration, or those that cannot spare someone to learn Klips formulas.
Data Studio (formerly Looker Studio) review
In April 2026 Google's free reporting tool went back to its original name: Looker Studio became Data Studio, and lookerstudio.google.com redirects to datastudio.google.com. Existing reports are unaffected, and the paid tier is now Data Studio Pro. Looker, Google Cloud's enterprise BI platform, is a separate product.
Data Studio sits between the two categories. It builds interactive, multi-page reports rather than glanceable KPI boards, but needs no data modeling for common Google sources, and it is free.
Key features
- More than 1,400 data sources, including Google Sheets, Google Ads, BigQuery and Google Analytics, plus partner and community connectors.
- Interactive reports with filters, controls, images, text and multiple pages, with real-time collaboration.
- Gemini in Data Studio (Pro only, in preview at no extra cost for now) for calculated fields from prompts and adding content to Google Slides, plus Conversational Analytics for natural-language questions on BigQuery data agents.
- Configurable data freshness per source. Databases and BigQuery can refresh every 1 to 50 minutes; Google Sheets every 15 minutes by default; Google Analytics every 1, 4 or 12 hours; Google Ads and other Google ad and measurement products every 12 hours, which cannot be changed.
- Pro: auto refresh for open reports at 5, 10, 15 or 30 minutes, hourly intervals or daily. Google describes it as useful for reports displayed on a monitor for long periods.
- Pro: team workspaces, up to 200 delivery schedules per report, delivery to Google Chat, and alerts.
Pricing
- Data Studio: free for creators and viewers.
- Data Studio Pro: $9 per user per project per month (Google notes the per-user price varies by subscription length), billed through a Google Cloud project. 30-day free trial with no user limit; billing starts automatically after the trial.
Pros
- Free for unlimited creators and viewers
- The largest connector catalog here, with native Google Ads, GA4, Sheets and BigQuery
- Flexible report design and real-time collaboration
- Pro adds TV-friendly auto refresh at a low per-user price
Cons
- Google ad and measurement data refreshes every 12 hours, which is too slow for a live wall screen
- Auto refresh for open reports is a Pro feature; free reports on a TV go stale
- Many non-Google sources depend on partner or community connectors rather than Google's own
Who should use it: Small businesses and marketing teams living in Google Ads, GA4 and Sheets, and anyone who needs good reports at no cost.
Who should avoid it: Teams that need minute-level operational numbers from tools like Zendesk or Salesforce on a screen without extra connectors and setup.
Power BI review
Power BI is Microsoft's business intelligence platform and now sits inside Microsoft Fabric. It is the most capable analytics tool in this guide. It is also the clearest example of a full BI platform: dashboards are the output of a data model you build in Power BI Desktop.
Key features
- Power BI Desktop (free download) for data modeling, transformations and report authoring; the Power BI service for publishing and sharing.
- Copilot in Power BI and Fabric to ask questions in natural language, generate visuals and write summaries.
- Sharing into Microsoft Teams, SharePoint and PowerPoint.
- Paginated reports, an on-premises option (Power BI Report Server) and Power BI Embedded for customer-facing reports.
Pricing
- Free account: $0, no credit card. Build reports in Power BI Desktop, but you cannot share or publish to others.
- Power BI Pro: $14/user/month paid yearly. Publish and share, 1 GB model size limit, 8 dataset refreshes per day, 10 GB storage per licence.
- Premium Per User: $24/user/month paid yearly. 100 GB models, 48 refreshes per day, advanced AI and dataflows.
- Fabric capacity (F SKUs): variable pricing, pay-as-you-go or reserved (Microsoft says a reservation saves 40.5% versus pay-as-you-go). People can view content without a paid per-user licence only on F64 and above. Publishing still needs Pro.
- Microsoft notes prices are for marketing purposes and vary by country and currency.
Pros
- The deepest modeling and analysis of the six tools
- Low per-creator price, and Pro is included in Microsoft 365 E5 and Office 365 E5
- Tight integration with Teams, SharePoint, Excel and the rest of Microsoft 365
- Copilot and Fabric give a growth path to a full data platform
Cons
- Viewers need a paid licence unless you buy F64+ capacity, so wide distribution gets expensive
- Pro is limited to 8 scheduled refreshes per day
- Building a good model takes real skill; it is not a plug-and-play KPI board
Who should use it: Microsoft 365 organizations with an analyst who can own the data model.
Who should avoid it: Small teams without an analyst, and anyone whose main goal is a live TV dashboard seen by many people who do not otherwise need a Power BI licence.
Domo review
Domo is a cloud data platform that combines connectors, ETL, dashboards, apps, workflows and AI in one product. Domo is now part of the Progress product portfolio after Progress Software acquired Domo's AI and data platform business; the product continues under the Domo name.
Key features
- 1,000+ pre-built connectors, Domo Workbench for on-premises databases, file uploads, and Cloud Amplifier to query data in Snowflake, Databricks or BigQuery without moving it.
- Drag-and-drop ETL, dashboards, alerts, scheduled reports, workflows and App Studio for low-code apps.
- Domo AI, AI Chat, custom AI agents and an AI Agent Store.
- Embedded analytics (Domo Everywhere) for customer-facing dashboards.
Pricing
- 30-day free trial: full platform, unlimited users, onboarding support and a training session, no credit card.
- Custom pricing: credit-based. Credits are consumed by actions such as storing data, updating tables, running workflows and ML inference. Unlimited users with no per-user fees. Failed processes do not consume credits. Can also be bought through cloud marketplaces against existing cloud commitments.
Pros
- Unlimited users with no per-seat charges
- Broadest platform here: connectors, ETL, apps, AI and embedding in one place
- Generous 30-day trial with unlimited users
- Cloud Amplifier avoids copying warehouse data
Cons
- No published prices, so you cannot estimate cost without a sales conversation
- Credit consumption makes bills harder to predict as usage grows
- Far more platform than a team that only wants KPI dashboards needs
Who should use it: Mid-size and large companies that want one cloud platform for data, dashboards, apps and embedding.
Who should avoid it: Small teams that want to see a few KPIs this week at a known monthly price.
Head-to-Head Comparison
Setup without a data team. Geckoboard is the easiest, with ready-made metrics and nothing to model. Databox is close behind. Data Studio is easy for Google sources. Klips rewards someone who learns its formulas. Power BI and Domo need an owner for the data model.
Data source limits.
| Tool | Data source limits |
|---|---|
| Geckoboard | Unlimited integrations on all plans; 90+ sources plus Sheets, Excel and API; volume limits on Aircall, Shopify, Zendesk Support |
| Databox | 3 (Free), 5 (Analyst), 10 (Team Core), 30 (Team Scale), 20 + 5 per pack (Agency); each account or property counts |
| Klipfolio Klips | 130+ integrations plus REST/URL connector; plans capped by dashboards (3, 10, 20, 40) |
| Klipfolio PowerMetrics | Capped by metrics (50 on Launch, 200 on Professional) |
| Data Studio | 1,400+ sources, no plan-based cap |
| Power BI | Model size caps (1 GB Pro, 100 GB Premium Per User) |
| Domo | 1,000+ connectors; usage billed in credits |
Refresh rates.
| Tool | Fastest refresh |
|---|---|
| Geckoboard | Real-time per data source on every plan (instant or within minutes) |
| Databox | Daily (Free), hourly (paid), 15-minute add-on for selected sources |
| Klipfolio Klips | 4 hours (Base), 1 hour (Grow), 15 minutes (Team), up to the minute (Team+) |
| Klipfolio PowerMetrics | 4 hours (Launch), 1 hour or optional 15 minutes (Professional) |
| Data Studio | Per source: 1 to 50 minutes for databases, 15 minutes for Sheets, 1 to 12 hours for GA, 12 hours for Google Ads |
| Power BI | 8 dataset refreshes/day (Pro), 48/day (Premium Per User) |
| Domo | Not published on the pages reviewed; ask during the trial |
Viewer pricing. Geckoboard (unlimited viewers), Klips (unlimited users), Domo (unlimited users) and Data Studio (free viewers) do not charge per viewer. Databox charges a flat fee with a fixed user count (3 or 10 on Team plans, unlimited on Agency) and lets you share by link and TV on Team plans. PowerMetrics and Power BI are per user; with Power BI, every viewer of shared content needs Pro unless you run F64+ capacity.
TV and wall displays. Geckoboard is the only tool here built around them, with screen pairing, remote control, Loops and screens included on every plan (1 on Essentials, 5 on Performance). Databox includes TV sharing on Team plans and above. Klips published links (Grow and above) can be opened on any browser-connected screen. Data Studio Pro's auto refresh is designed for reports left open on a monitor. Power BI and Domo are built for interactive reports; neither lists a dedicated TV screen feature on the pages reviewed for this guide.
Free plans. Data Studio is free with no user limit. Databox Free covers 1 user, 3 sources and 1 dashboard with daily sync and no sharing. Power BI's free account cannot share. Geckoboard (14 days), Klips (14 days), PowerMetrics (30 days) and Domo (30 days) offer trials only.
How to Choose: Decision Framework
Questions to answer before you trial anything
- Who will build the dashboards? A team lead with no SQL points to Geckoboard, Databox or Data Studio; an analyst opens up Power BI and Klipfolio.
- How many people only view? If 30 people only look at a TV and a Slack snapshot, per-user pricing is the wrong model.
- How fresh must the data be? A support queue needs minutes; a monthly marketing report is fine at 12 hours.
- How many data source accounts do you have? With Databox every ad account and analytics property counts toward the cap.
- Will a dashboard live on a TV? Check screen pairing, auto refresh and whether the TV needs a licensed login.
Red flags
- An entry plan whose refresh rate (every 4 hours, daily) is slower than the decisions you make from it.
- Per-user pricing when most of your audience only views.
- A tool that needs a data model when nobody on the team can own one.
- No public pricing when you need a firm budget this quarter.
What to test in a trial
- Connect your three most important sources and confirm the exact metrics you need exist out of the box.
- Run one dashboard on a real office screen for a full day and check it stays current and logged in.
- Share a dashboard with someone who has no account.
- Measure the delay between a change in the source tool (a closed deal, a solved ticket) and the dashboard update.
Worked cost example: a 25-person sales and support team
The scenario: a company of 25 people wants 4 dashboards (sales pipeline, support queue, marketing, leadership summary), 2 people who build and edit them, 2 office TVs, and view access for everyone. Data comes from a CRM, a help desk, GA4 and a spreadsheet. All prices below are annual-billing list prices from each vendor's site.
- Geckoboard Essentials: $79 base + 2 extra dashboards ($24 × 2 = $48) + 1 extra editor ($20) + 1 extra screen ($20) = $167/month, or $167 × 12 = $2,004/year. Unlimited viewers, real-time updates. (Performance at $319/month, or $3,828/year, covers up to 20 dashboards, 3 editors and 5 screens if you expect to grow.)
- Databox Team Core: $199/month, or $2,388/year, for 3 users and 10 data sources with TV sharing. The four sources fit, but each extra ad account or property uses another slot, and sync is hourly unless you add 15-minute sync.
- Klipfolio Klips Grow: $190/month, or $2,280/year, for 10 dashboards and unlimited users with published links, but data refreshes hourly. For 15-minute refresh, Team is $310/month, or $3,720/year.
- Klipfolio PowerMetrics Professional: if all 25 people need their own login, 25 × $35 = $875/month, or $10,500/year. With only the 3-user minimum, 3 × $35 = $105/month, or $1,260/year, and everyone else would rely on published views.
- Power BI Pro: everyone who views shared reports needs Pro, so 25 × $14 = $350/month, or $4,200/year, and the team still needs someone to build the model. Pro allows 8 refreshes a day.
- Data Studio: $0 on the free tier. To use auto refresh on the 2 TVs you need Pro: for 2 editors, 2 × $9 = $18/month, or $216/year (Google prices Pro per user per project, so confirm the user count your project needs). The 12-hour refresh on Google ad data still applies.
- Domo: custom quote; it cannot be estimated from public prices.
For this team, Geckoboard is the lowest-cost option with live data on both TVs, no per-viewer charges and no data model to learn. Data Studio is cheaper but slower to refresh for this mix of sources.
The Verdict: Final Recommendations
Top pick: Geckoboard. For teams that want KPI dashboards for marketing, sales or operations, on screens and in Slack, without a data team, Geckoboard fits the job most closely. It is the only tool here designed around TV displays, it includes real-time updates on every plan, it never charges for viewers, and a team lead can build a useful board from pre-built metrics without modeling any data. The lack of a free plan and the small Essentials allowance are its real weaknesses.
Runner-up for marketing: Databox. If your numbers come mostly from marketing tools and you want AI summaries and goals, Databox offers more analysis per dollar and the only usable free plan among the KPI tools. Count your data sources first.
For flexibility and unlimited users: Klipfolio. Klips is the right choice when you need custom metrics for many viewers at a flat price and someone is willing to learn its formulas. PowerMetrics suits teams that want a metric catalog connected to a warehouse.
For no budget: Data Studio. Free, capable and connected to everything Google. Accept 12-hour refresh for Google ad data, or pay for Pro to keep TV reports refreshing.
When you need real BI: Power BI or Domo. Power BI for Microsoft 365 shops with an analyst; Domo for larger companies that want one platform for data, apps and dashboards.
Conclusion
Most teams shopping for "dashboard software" want monitoring, not analysis: a handful of live numbers in front of the people who move them. For that job, a KPI dashboard tool is faster, cheaper per viewer and easier to maintain than a BI platform. Geckoboard is the strongest of those tools for shared screens and teams without analysts, Databox is the best fit for marketing teams, and Klipfolio is the most flexible.
Full BI platforms earn their complexity when you need to model data and answer new questions every week. Power BI gives the most analytical power if every viewer can carry a licence, Domo the broadest platform at a negotiated price, and Data Studio costs nothing to try.
Before you buy, write down your sources, your viewers and the refresh rate each metric needs, then run the trial tests above.
