Why the Right Diagramming Software Matters
Diagrams are where teams agree on how things work. A flowchart settles who approves an invoice. An org chart shows who reports to whom after a reorg. A cloud architecture diagram tells a new engineer which service talks to which database. When the diagram is wrong, out of date, or locked in a file nobody can open, people make decisions on bad information.
The tool you pick shapes how well that works. Some tools are fast for sketching a flowchart in a meeting but weak for a 300-shape network diagram. Some link shapes to spreadsheet data so an org chart updates itself, while others need every box edited by hand. Some open the Visio files your company has collected for 15 years, and some do not. And if your documentation lives in Confluence and your work lives in Jira, the quality of those integrations decides whether diagrams actually get used.
This guide compares seven tools on the things that matter most for diagramming:
- Diagram range: flowcharts, org charts, network and cloud architecture diagrams, ERDs and process maps
- Free tier limits: how many documents, boards or shapes you get before you have to pay
- Data linking: whether diagrams can be built from, or stay in sync with, spreadsheets and other data
- Visio import and export: whether you can bring old .vsdx files in and send diagrams back out
- Collaboration and integrations: real-time editing, comments, and Confluence and Jira support

Lucidchart Review
Lucidchart is a browser-based diagramming tool from Lucid, the company that also makes the Lucidspark whiteboard. It is the closest thing to a default choice for teams that need one tool for flowcharts, org charts, ERDs, UML, network diagrams and cloud architecture.
Key features
- A wide set of shape libraries for flowcharts, org charts, ERDs, UML sequence diagrams, process diagrams and mind maps
- Data linking: import CSV, Excel or Google Sheets data to build org charts and other diagrams. On Free, Individual and Team this is a one-time import with no refresh. Connecting to a live data source and data refresh sit on the Enterprise tier.
- Import from Visio, draw.io, Gliffy and OmniGraffle. On the free plan these imports are view-only; on paid plans you can edit them. Visio export is included from the Individual plan up.
- Integrations with Confluence, Jira, Microsoft 365, Google Workspace, Slack and others. The Confluence and Jira integrations are listed on the Team plan and above.
- Lucid AI for generating diagrams, plus an optional Cloud Accelerator add-on on Enterprise for cloud architecture work
Pricing
- Free: 3 editable documents, 75 shapes per document, 100 templates, basic data linking, presentation mode and commenting
- Individual: $9 per month billed annually. Unlimited documents and objects, 1 GB storage, Visio import and export, premium shape libraries and templates.
- Team: $10 per user per month billed annually. Adds revision history with versioning, password-protected publishing, and Microsoft 365, Confluence, Jira, LeanIX and Ardoq integrations.
- Enterprise: contact sales. Adds SAML, sharing restrictions, Lucidspark, advanced data and automation, Salesforce integration and optional accelerators.
Monthly billing is available at a higher rate. Paid plans come with a 7-day free trial, and Lucid asks for payment details at sign-up.
Pros
- Handles nearly every business and technical diagram type in one editor
- Data linking makes org charts from a spreadsheet far faster than drawing them
- Editable Visio import and Visio export on paid plans
- Mature Confluence and Jira integration for teams that document in Atlassian tools
Cons
- The free plan is only good for trying the product: 3 documents and 75 shapes each
- Confluence and Jira need the Team plan, not Individual
- Live data refresh and the cloud accelerator are Enterprise features
Who it's for: Teams that diagram regularly across many use cases, especially those already in Confluence and Jira, and companies moving off Visio who still need to exchange .vsdx files.
Who should skip it: Solo users who only need the occasional flowchart (draw.io is free) and teams that mostly brainstorm and only sometimes diagram (Miro fits better).
Miro Review
Miro is a collaborative whiteboard first, and a diagram tool second. That order matters. It is excellent for workshops, retros and planning sessions where a diagram is one part of a bigger discussion. Miro has added a structured Diagrams format and paid shape packs to close the gap with dedicated tools.
Key features
- An infinite canvas with sticky notes, docs, tables and diagrams in one place
- Visio and Lucidchart import on Starter and above
- Specialized shape packs on Business, including AWS, UML, BPMN and Mermaid support, plus custom shapes
- Jira integration on paid plans, and a Miro-built Confluence app that embeds live, editable boards in Confluence pages and brings Confluence pages into Miro
- Real-time collaboration, with video calls and private sharing on paid plans
Pricing
- Free: unlimited boards, but only the 3 most recent stay editable. Basic shapes only, low-resolution exports, and no private board sharing or guests.
- Starter: $8 per member per month billed yearly, or $10 billed monthly. Adds Visio and Lucidchart import and 25 AI credits per member per month.
- Business: $20 per member per month billed yearly, or $25 billed monthly. Adds specialized shape packs, custom shapes, AWS cloud icons and more integrations.
- Enterprise: custom pricing, from 30 members
Pros
- The strongest real-time collaboration and facilitation tools in this list
- Free plan has unlimited members, so viewers and occasional contributors cost nothing
- Can import existing Visio and Lucidchart diagrams on paid plans
- Two-way Confluence app keeps boards live inside documentation
Cons
- Free plan keeps only 3 boards editable and exports in low resolution
- Technical shape packs and cloud icons need Business at $20 or more per member
- We could not find Visio export on Miro's pricing page, so treat it as import-only
Who it's for: Product, design and agile teams that already run workshops in Miro and want their flowcharts and system sketches on the same canvas.
Who should skip it: IT and engineering teams producing precise network or architecture documentation. A dedicated editor such as Lucidchart, draw.io or Visio is a better fit.
Draw.io (diagrams.net) Review
Draw.io, formerly called diagrams.net, is a free, open-source diagram editor. It runs in the browser or as a desktop app, needs no sign-up, and has no paywalled features. The source code is Apache 2.0 licensed.
Key features
- Free web editor and desktop app with no account required
- Store diagrams where you choose: your device, Google Drive, Microsoft OneDrive, SharePoint and Teams, or GitHub
- Import Visio .vsdx diagrams, .vsd and .vst files, and .vssx stencils as shape libraries. It also imports Lucidchart and Gliffy files.
- Generate diagrams from SQL, CSV, Mermaid code or plain text
- Shape libraries for AWS, Azure and GCP network and architecture diagrams
- Apps for Confluence and Jira, including Confluence Cloud and Data Center
Pricing
- Web and desktop editors: free, with no shape, page or document limits
- Confluence and Jira apps: separate products sold through the Atlassian Marketplace. Check the Marketplace listing for current pricing.
Pros
- Completely free, with no limits on documents or shapes
- Diagram files stay in your own storage. Draw.io says it cannot access your data, which helps with security reviews.
- Strong Visio import, including older .vsd files
- Popular, actively maintained Confluence and Jira apps
Cons
- The interface is functional but looks dated next to Lucidchart or Whimsical
- No live data linking for org charts or dashboards. CSV import builds a diagram once.
- Draw.io's .vsdx import notes say some diagrams will not render identically to the original, and we could not confirm a supported Visio export in the current version. Treat it as one-way.
Who it's for: Engineers, IT teams and anyone on a budget who needs serious flowcharts and architecture diagrams. It is also a strong choice for regulated teams that want diagrams kept in their own storage.
Who should skip it: Teams that want polished real-time collaboration, comments and admin controls out of the box, or that need diagrams synced to live data.
Whimsical Review
Whimsical is a lightweight visual workspace for flowcharts, mind maps, wireframes and docs. Its strength is speed. A clear flowchart takes minutes, and the default styling looks clean without any fiddling.
Key features
- Flowcharts, mind maps, wireframes, boards and docs in one workspace
- AI generation for flowcharts, mind maps and wireframes
- Free viewers, so only editors need a paid seat
- Slack and GitHub integrations on every plan, plus live embeds of boards
- SAML SSO and SCIM on Business
Pricing
- Free: up to 50 board objects and 50 doc blocks per month, 10 AI credits per member, watermarked exports, 7-day version history
- Pro: $10 per editor per month billed annually. Unlimited board objects and doc blocks, no watermark, 90-day version history.
- Business: $20 per editor per month billed annually. Private teams, SAML SSO, SCIM, unlimited version history and priority support.
Whimsical says annual billing saves 17% compared with monthly billing.
Pros
- One of the fastest ways to sketch a readable flowchart or user flow
- Clean default styling, so diagrams look good with little effort
- Flowcharts, wireframes and specs live side by side
Cons
- The free plan is capped at 50 board objects per month, which runs out quickly
- No Visio import listed, and few technical shape libraries for network or cloud diagrams
- Confluence and Jira embeds rely on a third-party Marketplace app (Whimsical+ by Apps+), not an app built by Whimsical
Who it's for: Startup and product teams that mainly need flowcharts, user flows and quick wireframes.
Who should skip it: IT teams drawing network or cloud architecture, and anyone who needs Visio files or data-driven org charts.
Creately Review
Creately started as an online diagram tool and is now positioning itself as a platform of connected products: Atlas for org charts, Process for process maps, Clinical Maps for genograms, and Blueprint for cloud mapping (listed as coming soon). The core diagram canvas is still there on every plan.
Key features
- An infinite canvas with all diagram types and real-time collaboration
- Org charts built from scratch or imported from CSV with AI column mapping, plus span-of-control and vacancy views
- BPMN 2.0 and swimlane process maps, with AI extraction of procedures from PDF and Word documents
- Connected data sources: one source refreshed daily on Pro, unlimited sources on Business
- A Confluence Cloud app
Pricing
- Free: all diagram types, up to 40 shapes per diagram, real-time collaboration, static data import only. PNG, JPEG, PDF and SVG export are not included.
- Pro: $4 per editor per month billed annually ($48 a year), or $5 billed monthly. Unlimited shapes and diagrams, exports, private links, and one connected data source refreshed daily.
- Business: $89 per organization per month billed annually ($1,068 a year), or $149 billed monthly. Unlimited data sources, admin roles, audit log and priority support.
- Enterprise: custom pricing. Adds SAML SSO, SCIM, data residency and advanced product features.
Existing Team plan subscribers have been moved to Pro at their current price.
Pros
- Pro is one of the cheapest paid diagramming plans available
- Business is priced per organization, which can be a bargain for larger teams
- Data-connected org charts at a lower price than most rivals
Cons
- The free plan has no image or PDF export and a 40-shape limit per diagram
- The shift toward specialist products makes it less clear what you are buying
- Cloud architecture scanning (Blueprint) is not available yet
- We could not confirm current .vsdx import support on Creately's site
Who it's for: Small teams, HR and operations groups, and consultants who need org charts and process maps on a tight budget.
Who should skip it: Teams that rely on Visio files or need mature cloud architecture tooling today.
SmartDraw Review
SmartDraw has been around since the 1990s and now runs as a web app. It sells itself as a cheaper replacement for Visio and Lucidchart, with a focus on automation: intelligent formatting, AI flowchart generation and diagrams generated from data.
Key features
- Intelligent formatting that aligns and connects flowchart steps automatically, plus AI generation of flowcharts from a text description
- AWS and Azure architecture diagrams generated automatically from your account data
- Org charts built from Microsoft Entra ID data
- Visio import and export, including VSD and VSDX files and stencils
- Free SmartDraw connectors for Confluence and Jira, plus Jira reports, Azure DevOps cards, Microsoft Teams and Google Workspace apps
Pricing
- Individual: $7.95 per month billed annually, an introductory price for new customers. The regular price is $10.95.
- Team: $6.95 per user per month billed annually, an introductory price. The regular price is $10.95. Minimum of 3 users. Adds admin controls, a shared team folder and document retention.
- Enterprise: contact sales. Adds SSO, multiple shared folders and a custom company theme.
There is no permanent free plan, but SmartDraw offers a free trial.
Pros
- Automatic layout saves real time on large flowcharts and org charts
- Visio import and export make it a practical Visio replacement
- Free Confluence and Jira connectors
- Generates cloud diagrams from AWS and Azure data instead of drawing them by hand
Cons
- No free plan, only a trial
- The low prices are introductory, so budget for the regular rate at renewal
- The Team plan needs at least 3 users
Who it's for: Teams leaving Visio that want automatic layout, Visio file compatibility, and Atlassian connectors at a lower price.
Who should skip it: Casual users who want a free plan, and teams that prize a modern, collaborative canvas over automation.
Microsoft Visio Review
Visio is the long-standing standard for business and technical diagrams, and .vsdx is the file format every other tool here tries to import. Microsoft now sells it in three ways: a basic version included in Microsoft 365, two subscription plans, and one-time desktop licences.
Key features
- Desktop and web editors, with over 250,000 shapes on Plan 2
- AWS and Azure shapes, advanced org charts, ERD and UML diagrams on Plan 1 and Plan 2
- Data linking to Excel, SharePoint lists and SQL Server on Plan 2. Microsoft says data links can only be created in the desktop app.
- Org charts generated from Excel, Exchange or Microsoft Entra ID on Plan 2
- BPMN 2.0, floor plans, P&ID and AutoCAD file support on Plan 2
- Files stored in OneDrive and SharePoint, with a Visio app in Microsoft Teams
Pricing
- Visio in Microsoft 365: included in Microsoft 365 commercial plans. Web and Teams app with basic flowcharts, org charts and network diagrams.
- Visio Plan 1: $5 per user per month, paid yearly. Web app only, with AWS and Azure shapes, advanced org charts, Power BI integration and 2 GB of OneDrive storage.
- Visio Plan 2: $15 per user per month, paid yearly. Adds the desktop app with offline work, the full shape set, AutoCAD support and two-way data sync.
- Visio Standard 2024 and Professional 2024: one-time desktop purchases. See Microsoft's site for current prices.
Plan 1 and Plan 2 have a 30-day free trial for first-time users with a work or school account. A credit card is required.
Pros
- The native .vsdx format, so no conversion problems with partners and older files
- Many Microsoft 365 users already have basic Visio at no extra cost
- Plan 1 is cheap for web diagramming at $5 per user per month
- The deepest data linking and org chart generation in this list on Plan 2
Cons
- Data linking and the desktop app need Plan 2 at $15 per user per month
- The desktop app is Windows-only, so Mac users work in the browser
- No Microsoft-built Confluence or Jira app
Who it's for: Organizations standardized on Microsoft 365, especially IT, engineering and facilities teams that need .vsdx files, engineering shapes and data-linked diagrams.
Who should skip it: Teams on Google Workspace or Atlassian tools, and Mac-based teams that want a full desktop editor.
Head-to-Head: Free Plans and Their Limits
Free tiers vary more than any other factor here, and they decide whether a tool is usable without a budget.
| Tool | Free plan limit | Other free-plan catches |
|---|---|---|
| Draw.io | No limits | None; the Confluence and Jira apps are sold separately |
| Lucidchart | 3 editable documents, 75 shapes each | Visio imports are view-only |
| Miro | 3 editable boards (the most recent) | Low-resolution exports, basic shapes only |
| Whimsical | 50 board objects and 50 doc blocks per month | Watermarked exports |
| Creately | 40 shapes per diagram | No PNG, JPEG, PDF or SVG export |
| Visio | Basic Visio included with Microsoft 365 commercial plans | Needs a Microsoft 365 plan |
| SmartDraw | No free plan | Free trial only |
Draw.io is the only tool that is genuinely free for serious work. Lucidchart's free plan is enough for a handful of small diagrams. Whimsical's monthly object cap and Creately's 40-shape cap mean free use is really a trial. If you already pay for Microsoft 365, check whether basic Visio is included before buying anything.
Head-to-Head: Visio Import and Export
If your company has years of Visio files, this is a deciding factor.
- Microsoft Visio: native .vsdx, no conversion needed
- Lucidchart: Visio import (view-only on Free, editable on paid plans) and Visio export from Individual up
- SmartDraw: imports and exports VSD and VSDX files and stencils
- Draw.io: imports .vsdx, .vsd and .vst files and Visio stencils for free. Treat it as one-way, since we could not confirm a supported Visio export.
- Miro: Visio import on Starter and above
- Creately and Whimsical: no current Visio import confirmed on their sites
For round trips with partners who still use Visio, Lucidchart and SmartDraw are the safest non-Microsoft choices. For a one-time migration away from Visio on a budget, draw.io works well.
Head-to-Head: Data Linking and Org Charts
Data linking is what turns a diagram into a living document. It matters most for org charts, asset inventories and process maps that change often.
- Visio Plan 2 has the deepest data linking, to Excel, SharePoint lists and SQL Server, and builds org charts from Excel, Exchange or Entra ID
- Lucidchart imports CSV, Excel and Google Sheets data on every plan, including Free, to build org charts and other diagrams. Live connections and refresh are on Enterprise.
- Creately gives you one connected data source refreshed daily on Pro, and unlimited sources on Business
- SmartDraw builds org charts from Entra ID and architecture diagrams from AWS and Azure data
- Draw.io can build a diagram from CSV or SQL once, but does not keep it in sync
- Miro and Whimsical are mostly manual
Head-to-Head: Network and Cloud Architecture Diagrams
- Lucidchart covers network and cloud diagrams, adds premium shape libraries on paid plans, and offers an optional Cloud Accelerator on Enterprise
- Draw.io has free AWS, Azure and GCP shape libraries, which makes it popular with engineers
- SmartDraw generates AWS and Azure diagrams from your account data
- Visio includes AWS and Azure shapes on Plan 1 and Plan 2
- Miro adds AWS cloud icons and technical shape packs on Business
- Creately lists AWS scanning in Blueprint as coming soon
- Whimsical is not built for this
Head-to-Head: Collaboration and Confluence or Jira
All of these tools except desktop Visio are built around browser-based sharing. The bigger difference is how they fit Atlassian tools.
- Lucidchart: Confluence and Jira integrations on Team and above
- Draw.io: dedicated Confluence and Jira apps, sold through the Atlassian Marketplace
- SmartDraw: free Confluence and Jira connectors, plus Jira reports
- Miro: a Miro-built Confluence app with live board embeds, and Jira integration on paid plans
- Creately: a Confluence Cloud app
- Whimsical: Confluence and Jira embeds through a third-party app
- Visio: no Microsoft-built Atlassian app; it is designed around Teams, OneDrive and SharePoint
How to Choose
Start with three questions.
1. Where does your documentation live?
- Confluence and Jira: Lucidchart (Team plan), draw.io or SmartDraw
- Microsoft 365, Teams and SharePoint: Visio first, then Lucidchart
- A whiteboard your team already uses: Miro
2. What do you mostly draw?
- Quick flowcharts and user flows: Whimsical or Lucidchart
- Org charts from HR data: Visio Plan 2, Lucidchart, Creately or SmartDraw
- Network and cloud architecture: draw.io, Lucidchart, Visio or SmartDraw
- Workshop outputs and planning maps: Miro
3. What is your budget?
- Nothing: draw.io
- Lowest paid price: Creately Pro at $4 per editor per month billed annually
- Already paying for Microsoft 365: check your included Visio before buying anything else
- Budget for a full team tool: Lucidchart Team at $10 per user per month billed annually
Also check renewal pricing. SmartDraw's lowest prices are introductory, and most paid plans here quote the annual-billing rate, with monthly billing costing more.
Final Recommendations
- Most teams: Lucidchart. It covers every diagram type well, handles Visio files, and integrates with Confluence and Jira on the Team plan.
- Free and unlimited: draw.io. The best value in diagramming, especially for engineers.
- Microsoft 365 organizations: Visio. Start with the version included in Microsoft 365 and move to Plan 2 only if you need the desktop app or data linking.
- Workshop-first teams: Miro. Keep diagrams where the discussion happens.
- Fast flowcharts: Whimsical. Clean results with almost no learning curve.
- Tight budgets: Creately. The cheapest paid plan, with data-connected org charts.
- Leaving Visio: SmartDraw. Visio import and export, automatic layout and free Atlassian connectors.
Conclusion
There is no single best diagramming tool for everyone, but there is a clear default. Lucidchart is the most complete option for teams that need many diagram types, data linking, Visio compatibility and Atlassian integrations. Draw.io matches much of that range for free if you can live with a plainer interface and no live data links. Visio remains the right call inside Microsoft 365, and the basic version may already be in your subscription.
Before you commit, run your hardest real diagram through the free plan or trial: your biggest org chart, your messiest Visio file, or your cloud architecture. How a tool handles that one diagram will tell you more than any feature list.
