Why Subscription Management Software Matters in 2026
Recurring revenue sounds simple: charge the same customer every month. In practice it means prorating upgrades, retrying failed cards, sending invoices, collecting the right sales tax or VAT, and telling your accountant how much of this month's cash is actually this month's revenue. A spreadsheet and a payment link stop working at about the moment the business starts to work.
Subscription management software splits into two quite different worlds:
- SaaS and B2B billing. Software, memberships and services. You need plans, trials, seats, usage billing, invoices, dunning (automated failed-payment recovery), tax and often revenue recognition under ASC 606.
- Ecommerce subscriptions. Subscription boxes, coffee, supplements, pet food. You need subscribe-and-save on the product page, a customer portal to skip or swap, and tight links to your store, inventory and shipping. Most of these brands run on Shopify.
There is also a second split that matters more than most buyers realize: billing layer vs merchant of record. A billing layer (Stripe Billing, Chargebee, Recurly, Maxio, Zuora, Recharge) runs your subscriptions, but you are still the seller, so sales tax and VAT registration and filing are your job. A merchant of record (Paddle) legally resells your product, so it collects and files tax for you, at a higher fee.
Pricing models also differ a lot. Some tools take a percentage of everything you bill, some charge a flat monthly fee, some do both, and two of them (Zuora and most of Maxio above the entry tier) only give prices on request. Every price below was checked on the vendor's own site in October 2026 and is in USD.
Stripe Billing review
What it is. Stripe Billing is Stripe's subscription and invoicing product. It sits on top of Stripe Payments, which a large share of small online businesses already use, so turning it on is often a settings change rather than a migration.
Pricing. Pay as you go costs 0.7% of Billing volume with no recurring fee. That covers subscription billing processed on and off Stripe; one-off invoices are priced separately. If you prefer a contract, annual plans billed monthly start at $620/month for up to $100,000 of volume, then 0.67%, with larger tiers at $1,500, $2,950 and $5,750 a month. Card processing is extra if you use Stripe Payments: 2.9% + 30¢ per successful card charge, ACH at 0.8% capped at $5.
Add-ons are where the bill grows:
- Stripe Tax Basic: 0.5% per transaction where you are registered, for no-code setups (Billing, Checkout, Invoicing). Tax Complete, which adds registrations and filing, starts at $90/month on a 1-year contract.
- Revenue Recognition: $25/month for up to $10,000 of volume, then 0.25%. Annual plans start at $190/month for up to $100,000.
- Custom domain for the customer portal: $10/month.
Key features. Subscriptions, quotes and multiphase schedules are included. Dunning is included: automatic reminders, AI-based Smart Retries, card account updater and up to three recovery and retention automations. You get a prebuilt customer portal, hosted invoice pages, and basic usage-based billing through the Meters API (up to 100M events a month). For heavier usage billing Stripe points you to Metronome, sold separately. Stripe says Billing can connect to other payment processors, but third-party and multiprocessor payments are an extra-cost feature.
Tax and merchant of record. Stripe Billing is a billing layer. Stripe Tax calculates and collects sales tax, VAT and GST in 90+ countries, but you are still the seller of record.
Integrations. Stripe lists accounting integrations, a NetSuite connector and CRM/CPQ integrations, plus the largest developer ecosystem in this group.
Who should use it: Small and growing SaaS companies, membership sites, and ecommerce businesses not on Shopify that already use Stripe. It is the lowest-risk starting point: no fixed fee, and you add tax and revenue recognition only when you need them.
Who should avoid it: Shopify subscription brands (use Recharge or Recurly Commerce), and businesses that want someone else to own global tax filing (use Paddle).
Chargebee review
What it is. Chargebee is a standalone subscription billing platform aimed at SaaS and B2B companies. It is gateway-agnostic, with 40+ payment gateways, so you can keep or change your processor.
Pricing. The Billing Flow plan offers two options on Chargebee's calculator: $0/month + 0.80% of monthly invoicing volume, or $99/month + 0.65%. The breakeven is about $66K a month: below that, the no-base-fee option is cheaper. Enterprise is quote-only. There is no permanent free Billing tier, though the Growth Starter toolkit (pricing tables, hosted checkout, self-serve portal, no-code cancel pages) is $0 for Billing customers.
Key features. Invoicing, calendar billing, usage-based and hybrid billing (100M usage events a month included), credit notes, coupons, gift subscriptions and a customer portal. Basic and smart dunning are included on both plans. Enterprise adds multi-entity management, account hierarchies, contract terms and approvals.
Tax. Built in: US sales tax, EU VAT and global tax, multiple tax profiles and tax-inclusive pricing. Avalara is a paid add-on on Enterprise. Chargebee is a billing layer, so registration and filing remain yours.
Revenue recognition. Chargebee RevRec is a separate product (Performance and Enterprise plans) with pricing on request. It covers ratable and point-in-time recognition, multi-currency and GAAP reports.
Integrations. QuickBooks and Xero are included on Flow. NetSuite, Sage Intacct, Salesforce and Avalara are not included on Flow and are paid add-ons on Enterprise.
Who should use it: SaaS and B2B companies that have outgrown simple Stripe subscriptions, want tax and accounting sync included, or want to use more than one gateway.
Who should avoid it: Shopify product subscription brands, and companies that need NetSuite or Salesforce sync but do not want an Enterprise contract.
Recharge review
What it is. Recharge is the best-known subscription app for Shopify. It adds subscribe-and-save to product pages, a customer portal where subscribers skip, swap or cancel, and retention tools. It also supports BigCommerce. Recharge says other platforms such as WordPress or Squarespace need custom work.
Pricing.
- Starter: $99/month + 1.49% + 19¢ per transaction, billed monthly.
- Plus: $499/month + 1.34% + 19¢ per transaction, on a 12-month term.
- Custom: volume-based rates, 12-month term.
There is a 60-day free trial. Recharge's Shopify App Store listing also shows a $25/month plan with no transaction fees for the first 50 subscribers, a useful entry point for new brands. Concierge SMS on Plus costs $0.03 per US message segment.
Key features. Product page widget, no-code customer portal, upsells and cross-sells, cancellation prevention, win-back flows, gifting and benchmark analytics, all from Starter. Plus adds bundles, tiered discounts, loyalty and referrals, SMS and API access.
Dunning. Failed Payment Recovery uses smart retry timing based on the error type. By default it keeps trying for 120 days after the original charge, up to 180 days if the customer updates their card. You can also turn on retries against a customer's backup payment methods.
Tax and revenue recognition. Recharge is a billing layer on your store, not a merchant of record. Its Shopify listing names Avalara as an integration. Recharge does not offer ASC 606 revenue recognition; physical-goods brands rarely need it the way SaaS does.
Integrations. Shopify Checkout, Customer accounts, Shopify POS and Shopify Flow, plus Klaviyo, Attentive, Gorgias, Stripe, Avalara and Triple Whale.
Who should use it: Shopify brands selling physical products on repeat: subscription boxes, coffee, supplements, beauty and pet food.
Who should avoid it: SaaS and B2B companies, and anyone not on Shopify or BigCommerce.
Paddle review
What it is. Paddle is a merchant of record for software companies. When a customer buys, Paddle is legally the seller. That means Paddle calculates, collects and files sales tax and VAT, handles fraud and chargebacks, and supports buyers. You receive payouts.
Pricing. 5% + 50¢ per checkout transaction, with no monthly fees or migration fees. Paddle offers custom pricing for high-volume, low-value transactions and for products under $10. Unlike the billing layers above, this price already includes payment processing and tax compliance, so compare it to "billing fee + card fee + tax tool + your time on filings."
Key features. Subscription management with a built-in customer portal, recurring B2B invoicing, and real-time revenue analytics. Retain, Paddle's retention toolkit, is included at no extra cost for Paddle Billing customers: automated dunning for failed payments, cancellation flows with offers, and prompts to move customers to annual plans.
Revenue recognition. Paddle's pricing and Billing pages do not list an ASC 606 revenue recognition module. Plan on handling that in your accounting system.
Limits. Paddle only supports SaaS and digital products. Its acceptable use policy prohibits physical products and pure human services not tied to software, so it is not an option for subscription boxes.
Who should use it: Small software and app companies selling to customers in many countries, especially teams without a finance person who can manage tax registrations.
Who should avoid it: Anyone selling physical goods, and higher-volume SaaS companies where 5% is noticeably more than Stripe or Chargebee plus a tax tool.
Recurly review
What it is. Recurly is a subscription billing platform with a strong focus on consumer subscriptions and reducing churn. In May 2025 it acquired Prive, a Shopify subscription app, which became Recurly Commerce for physical-goods subscriptions on Shopify.
Pricing.
- Starter: $249/month + 0.9% of billing volume, with the first $40K of billings each month included. In practice it is a flat $249/month until you pass $40K. 90-day free trial.
- All-Access: $1M billing volume minimum, "as low as <1%" of billing volume, billed annually.
- All-Access for Shopify: "as low as <1%", billed annually; pricing on request.
- RevRec: from $850/month, billed annually.
- Engage (personalized retention offers): from $1,600/month, billed annually.
Key features. Global subscription billing, flexible plans, 10+ payment methods and 20+ gateways on Starter. Dunning: Starter includes one dunning campaign; All-Access adds multiple campaigns, intelligent churn tools, multicurrency and payment orchestration across gateways. Recurly Commerce adds subscribe-and-save, bundles, prepaid and gift subscriptions, and a passwordless subscriber portal for Shopify stores.
Tax. Recurly is a billing layer. Its integrations page lists Avalara for tax.
Integrations. QuickBooks, NetSuite, HubSpot and Avalara are listed, with 40+ payment gateways and platforms.
Who should use it: Consumer subscription businesses billing roughly $40K to $100K+ a month that care most about failed-payment recovery and churn. Shopify brands that want an alternative to Recharge can look at Recurly Commerce.
Who should avoid it: Very early businesses, where $249/month is a lot before revenue arrives.
Maxio review
What it is (and what happened to Chargify). Chargify was a popular SaaS billing tool. In 2021 Battery Ventures combined Chargify with SaaSOptics, a SaaS finance and revenue recognition tool, and the combined company launched as Maxio in April 2022. Chargify's billing engine lives on as Maxio Advanced Billing, and its API still runs on chargify.com addresses. If a guide recommends Chargify, Maxio is what you would buy today.
Pricing.
- Grow: $599/month for up to $100K in monthly billings.
- Scale: over $100K in monthly billings, quote-only.
Agreements are billed annually by default; monthly or quarterly payment costs extra. Optional paid modules include advanced revenue management, A/R management, multi-entity and EU hosting. Users are unlimited.
Key features. Subscription, usage-based and hybrid billing, automated invoicing, collections and dunning with automated reminders, 20+ payment gateways, ASC 606 / IFRS 15 revenue recognition, and SaaS metrics such as ARR and DSO. Maxio's pricing page splits revenue recognition into standard and advanced versions, but does not clearly say which plan gets which.
Tax. Maxio relies on integrations here: Avalara, TaxJar, Anrok and others. It is a billing layer.
Integrations. QuickBooks Online and Desktop, Xero, NetSuite, Sage Intacct, Rillet, Salesforce, HubSpot and Pipedrive.
Who should use it: B2B SaaS companies where the finance team needs billing, revenue recognition and board-ready metrics in one system, and where a flat fee beats a percentage.
Who should avoid it: Ecommerce brands and very small businesses. $599/month on an annual agreement is a commitment.
Zuora review
What it is. Zuora is the enterprise end of subscription billing. Silver Lake and GIC took it private in February 2025 in a deal valued at about $1.7 billion, so it is no longer a listed company.
Pricing. Quote-only. Zuora's site lists no prices. Billing comes in three editions: Growth (up to 25,000 active subscribers, 2 payment gateways), Enterprise (up to 500,000 subscribers, 5 gateways) and Nine (up to 2,000,000 subscribers, 10 gateways). Zuora Revenue is a separate product.
Key features. A central product catalog for complex pricing, usage and hybrid billing, automated retries, dunning and collections workflows, and ASC 606 revenue recognition.
Tax. Zuora offers a native tax engine or connectors to external engines such as Avalara. It is a billing layer.
Integrations. 40+ payment gateway connectors and 20+ payment methods, with native connections to Salesforce CPQ, HubSpot and NetSuite.
Who should use it: Larger companies with complex catalogs, contracts, several entities and a finance team ready for an implementation project.
Who should avoid it: Almost every small business. You will pay for complexity you do not need.
Head-to-Head Comparison
Ease of use
Recharge and Stripe Billing are the quickest to get running. Recharge installs from the Shopify App Store, and Stripe Billing is a few steps away if you already take payments on Stripe. Paddle is simple to sell through but asks you to adopt its checkout. Chargebee and Recurly take more setup because they sit between you and a gateway. Maxio and Zuora are finance systems and expect onboarding.
Features
For SaaS and B2B billing depth, Zuora, Maxio and Chargebee lead: account hierarchies, contracts, usage billing and revenue recognition. Stripe Billing covers most of the same ground through add-ons. For ecommerce subscriptions, Recharge and Recurly Commerce are the only two here built for Shopify.
Dunning
Every tool includes some failed-payment recovery. The differences are in depth:
- Stripe Billing: Smart Retries, card updater and up to three recovery automations, included.
- Chargebee: basic and smart dunning on all plans.
- Recharge: smart retries for up to 120 days, plus backup payment methods.
- Paddle: Retain included at no extra cost.
- Recurly: one campaign on Starter, multiple on All-Access.
- Maxio and Zuora: collections and dunning workflows built for B2B accounts receivable.
Tax handling
Only Paddle takes tax compliance off your plate as merchant of record. Chargebee has tax calculation built into its plans. Stripe sells Stripe Tax from 0.5% per transaction. Recurly, Maxio, Recharge and Zuora rely mainly on integrations such as Avalara (Zuora also has a native engine).
Revenue recognition
Built in or included on the platform: Maxio and Zuora (Zuora Revenue is a separate product). Paid add-ons with public prices: Stripe (from $25/month) and Recurly (from $850/month). Pricing on request: Chargebee RevRec. Not offered: Recharge, and not listed by Paddle.
Pricing value and fees
Under about $40K a month, Stripe Billing (0.7%) and Chargebee Flow (0.80%) are cheapest. Between $40K and $100K, Recurly Starter and Maxio Grow become competitive because of their flat fees. Paddle at 5% + 50¢ costs the most, but it includes processing and tax. Recharge costs more than SaaS billing tools per dollar billed, but it is the only option here that drops straight into a Shopify product page.
Integrations
Maxio has the widest accounting list in this group (QuickBooks, Xero, NetSuite, Sage Intacct). Chargebee includes QuickBooks and Xero on Flow. Recharge has the strongest Shopify marketing ecosystem (Klaviyo, Attentive, Gorgias). Zuora is strongest with Salesforce CPQ and NetSuite.
Learning curve
Lowest: Recharge, Stripe Billing, Paddle. Medium: Chargebee, Recurly. Highest: Maxio and Zuora, which assume someone on the team understands deferred revenue.
How to Choose: Decision Framework
Answer these five questions in order:
- Do you sell physical products on Shopify? Choose Recharge. Look at Recurly Commerce if you are already above $1M a year and want to compare quotes.
- Do you sell software or digital products and want no tax work at all? Choose Paddle and accept the 5% + 50¢ fee. Revisit when monthly volume makes a billing layer plus a tax tool clearly cheaper.
- Are you already on Stripe and billing under about $50K a month? Choose Stripe Billing. Add Stripe Tax and Revenue Recognition when you need them.
- Are you a B2B or SaaS company that wants tax and accounting sync included, or multiple gateways? Choose Chargebee. If finance needs revenue recognition and SaaS metrics in the same tool, and you are near $100K a month, compare Maxio Grow at $599/month.
- Do you have complex contracts, several entities or hundreds of thousands of subscribers? Get quotes from Zuora and Chargebee Enterprise.
Before you commit, check three costs that often surprise people:
- Processing is separate. Except for Paddle, billing fees sit on top of card fees such as Stripe's 2.9% + 30¢.
- Tax is a cost either way. Either you pay a tax add-on and do registrations, or you pay a merchant of record.
- Contract terms. Recharge Plus, Recurly All-Access, Maxio and Stripe's annual plans all involve 12-month commitments.
Also check how hard it is to leave. Moving subscriptions means moving stored card details, which usually needs your gateway's cooperation. Gateway-agnostic tools (Chargebee, Recurly, Maxio, Zuora) make that easier than tools tied to one processor or acting as the seller.
The Verdict: Final Recommendations
1) Stripe Billing: best for most small and growing businesses
No monthly fee, 0.7% of billing volume, and Smart Retries included. You can add Stripe Tax and Revenue Recognition as you grow without changing platforms. The risk is add-on creep, so price the full stack once you pass $50K a month.
2) Recharge: best for Shopify subscription boxes
If you sell physical products on Shopify, Recharge is the natural fit. Start on the $25 plan or Starter at $99/month + 1.49% + 19¢, and move to Plus when bundles and loyalty pay for themselves.
3) Paddle: best for software sellers who want tax handled
At 5% + 50¢ it is not cheap, but it replaces your processor, tax compliance, chargeback handling and dunning in one fee.
4) Chargebee: best for growing SaaS and B2B
0.80% with no base fee or $99/month + 0.65%, with tax and QuickBooks/Xero sync included. The best standalone billing system for a small SaaS company.
5) Recurly: best for consumer subscriptions focused on churn
$249/month flat up to $40K of monthly billing and a 90-day trial. Strong on dunning, with a Shopify option.
6) Maxio: best for finance-led B2B SaaS
The successor to Chargify. $599/month for billing, revenue recognition and SaaS metrics, billed annually.
7) Zuora: best for enterprises
Quote-only and built for scale. Worth a call only once your pricing and entity structure are genuinely complex.
Conclusion
The right subscription tool depends less on features and more on what you sell and where. Physical products on Shopify point to Recharge. Software sold worldwide by a small team points to Paddle. Almost everything else, for a small or growing business, starts best on Stripe Billing or Chargebee, where you pay a small percentage and nothing up front.
Before you decide, write down four numbers: monthly billing volume today, expected volume in 12 months, the number of countries you sell to, and whether you need ASC 606 revenue recognition. Run those through the cost table above, then trial your top two. Recharge offers 60 days, Recurly 90 days, and Stripe and Chargebee Flow cost nothing until you bill.
