Why Your Transcription Tool Choice Matters

"Transcription software" covers very different jobs. A journalist needs an accurate, searchable transcript of a recorded interview. A podcaster wants to edit audio by editing text. A lawyer needs a transcript accurate enough to quote. A sales team wants every call written up without anyone pressing record. One tool rarely does all of these well.

Three choices decide most of the outcome:

  • AI or human transcription. AI transcripts arrive in minutes and cost a fraction of human work, but they still need proofreading on noisy audio, heavy accents or technical vocabulary. Human transcription costs about $2 per audio minute at the services in this guide, takes hours instead of minutes, and comes with an accuracy guarantee. Only two tools here, Rev and HappyScribe, sell both under one account.
  • File uploads or live meetings. Some tools are built around uploading recordings (interviews, podcasts, lectures, video). Others are built around a bot that joins Zoom, Google Meet or Microsoft Teams and transcribes in real time. Several do both, but the limits differ a lot. Otter's Pro plan, for example, allows 10 imported files a month.
  • Per-minute or subscription pricing. If you transcribe a few files a quarter, pay-as-you-go is usually cheaper. If you transcribe every week, a subscription with a monthly allowance wins. Some tools offer only one model.

Language support matters too. Otter transcribes six languages, Descript 25, Rev 37+ on its Pro plan, Trint 50+, Sonix 54+ and HappyScribe 150+ languages and dialects, according to each vendor.

How we chose

We compared the six tools on published pricing and plan limits, AI versus human options, supported languages, file upload versus live meeting support, and editing and export features. We did not run our own accuracy tests. Every accuracy figure in this article is the vendor's own claim, and we say so when we quote one. Prices were checked on each vendor's site in October 2026.

A note on Temi

Temi, the low-cost AI transcription service from the company behind Rev, was a common pick for budget transcription. Temi's homepage now sends visitors to a page promoting Rev, and Rev has a page guiding Temi users to merge their accounts into Rev, noting that after merging they lose access to Temi. Since Temi is no longer a standalone product to sign up for, we left it out and added HappyScribe, a live tool that also sells both AI and human transcription.

Rev Review

Rev is one of the best-known names in transcription, and it is the only service here that started as a human transcription company. Today it sells AI transcription subscriptions alongside à la carte human transcription, captions, foreign-language subtitles and legal-formatted transcripts. Rev also runs an AI Notetaker that can join Zoom, Google Meet, Microsoft Teams and Webex calls from your calendar.

Rev's pricing page is now written for legal and investigative teams (depositions, Clio integration, CJIS compliance), but the services work for any recorded audio.

Pricing

  • Free: 45 AI transcription and caption minutes a month, 1 user, English only
  • Essentials: $25.49 per seat/month billed annually ($305.90 a year) or $29.99 month to month. 5,000 AI minutes per user a month, up to 3 users, English and Spanish, 10% off human services on annual billing (3% on monthly)
  • Pro: $47.99 per seat/month billed annually ($575.88 a year) or $59.99 month to month. 10,000 AI minutes per user a month, up to 5 users, 37+ languages including Spanglish, 15% off human services on annual billing (5% on monthly)
  • Unlimited: custom pricing, unlimited users and minutes, SSO, CJIS and HIPAA compliance
  • Human transcription: $1.99 per minute. Rev states it is 99%+ accurate and delivered in 12 hours or less, with rush options
  • Global subtitles: $6.49 to $15.99 per minute depending on the language, 17 languages

Who it's for

People who want AI transcripts most of the time but need a human-verified transcript for the recordings that matter: researchers, journalists, legal teams and anyone who will quote a transcript in public. Having both in one account, with subscription discounts on human work, is Rev's main advantage.

Where it falls short

The free plan is English only and small. Spanish needs Essentials, and other languages need Pro at $47.99 per seat per month billed annually. The pricing page and feature names lean heavily toward legal work, which can make the plans harder to read for a podcaster or student. Human captions are English and Spanish only.

Otter.ai Review

Otter.ai is built around meetings. It transcribes live as people talk, identifies speakers, and its notetaker joins Zoom, Microsoft Teams and Google Meet to write and share notes automatically. AI Chat lets you ask questions about a meeting or across meetings. Mobile apps record in-person conversations.

Pricing

  • Basic (free): 300 monthly transcription minutes per user, 30 minutes per conversation, 3 lifetime audio or video file imports, 25 most recent conversations, 20 AI Chat queries per user a month
  • Pro: $8.33/user/month billed annually (Otter says this saves 51%) or $16.99 month to month. 1,200 minutes per user a month, up to 90 minutes per meeting, 10 file imports a month, unlimited storage, Salesforce, HubSpot and Zapier integrations, 50 AI Chat queries
  • Business: $19.99/user/month billed annually or $30 month to month. Unlimited meetings and in-app recordings, up to 4 hours per meeting, unlimited imports (imported file transcription is capped at 6,000 minutes per user a month), 3 concurrent meetings, activity logs and usage analytics, 200 AI Chat queries
  • Enterprise: custom. SSO, SCIM, domain capture, Otter API and webhooks, HIPAA compliance as an add-on
  • Otter offers a 20% student and teacher discount on Pro with a .edu email

Who it's for

People whose recordings are mostly meetings: team calls, client calls, lectures and interviews recorded on a phone. Watching the transcript appear live during the meeting is the main reason to choose Otter over upload-first tools.

Where it falls short

Otter transcribes six languages: English, Spanish, French, German, Japanese and Chinese. File imports are tight on Basic and Pro, so it is a poor fit for transcribing an archive of recordings. There is no human transcription option. The free plan's 30-minute cap per conversation cuts most real meetings short.

HappyScribe Review

HappyScribe covers AI transcription, subtitles and translation, plus a human proofreading service, and now a meeting notetaker for Zoom, Google Meet and Teams. Its standout is language coverage: HappyScribe lists AI transcription and subtitles in 150+ languages and dialects and AI translation into 80+ languages.

Pricing

  • Free: 10-minute free trial of AI transcription, subtitling and translation for uploaded files, unlimited meeting recordings up to 45 minutes each, watermarked video exports
  • Basic: $8.50/month billed annually (1,440 AI minutes a year) or $17 month to month (120 AI minutes a month). 1 seat, 90 minutes per meeting recording, no watermark
  • Pro: $19/month billed annually (7,200 AI minutes a year) or $29 month to month (600 minutes a month). 3 seats, unlimited recording length, subtitle exports in formats like VTT, STL, XML and FCPXML, custom summary templates
  • Business: $59/month billed annually (72,000 AI minutes a year) or $89 month to month (6,000 minutes a month). 5 seats, roles and permissions, unlimited style guides and glossaries, 5% off human proofreading
  • Extra AI minutes: $0.20 per minute on paid plans
  • Human proofreading: from $2.00 per minute ($1.90 on Business) in 65+ languages. HappyScribe states 99% accuracy with delivery from 4 hours

Who it's for

Teams that work in more than one or two languages: international research, documentary and video production, subtitle work for multilingual audiences. Pro's 3 included seats make it good value for a small team.

Where it falls short

The AI minute allowances on Basic and Pro are modest compared with Rev's subscriptions. The desktop app is listed as coming soon. The free plan is a 10-minute trial for uploads rather than an ongoing allowance.

Descript Review

Descript is an audio and video editor that starts with a transcript. Upload or record media, Descript transcribes it, and you edit the recording by editing the text: delete a sentence from the transcript and it disappears from the audio. It also handles captions, filler word removal and AI tools for creators.

Pricing

All paid plans are priced per person.

  • Free: 60 media minutes a month, 100 one-time AI credits, 720p export with watermark
  • Hobbyist: $16/month billed annually or $24 month to month. 10 media hours a month, 400 AI credits, 1080p export without watermark
  • Creator: $24/month billed annually or $35 month to month. 30 media hours a month, 800 AI credits, 4K export
  • Business: $50/month billed annually or $65 month to month. 40 media hours a month, 1,500 AI credits
  • Enterprise: custom, adds SSO and SCIM

Media hours count uploaded files and media recorded in Descript, whether or not they are transcribed.

Who it's for

Podcasters, YouTubers, course creators and marketers who need a transcript as part of producing audio or video, not as the final product.

Where it falls short

If all you need is a transcript, Descript is more tool than you need, and its allowances are measured in media hours rather than transcription minutes. Descript's help center says transcription is limited to languages using the Latin alphabet (plus Hindi in beta) and to one language per file, so it does not transcribe Chinese, Japanese or Russian. There is no human transcription option.

Sonix Review

Sonix is a browser-based AI transcription service for uploaded audio and video. It offers a transcript editor, speaker labels and timestamps, translation, subtitles, a custom dictionary, AI analysis (summaries, chapters) and an API. It is one of the few tools here with true pay-as-you-go pricing.

Pricing

  • Pay As You Go: $10 per hour of audio, billed to the second, no subscription. Single user, 5 GB storage
  • Core: $25/month or $275/year. 5 transcription hours a month (60 a year), 1 user included
  • Advanced: $50/month or $550/year. 20 hours a month (240 a year), more AI analysis hours
  • Pro: $80/month or $880/year. 40 hours a month (480 a year)
  • Extra seats: $25/month or $275/year per seat. Extra seats do not add hours
  • Additional hours on any plan: $10 per hour
  • Enterprise: custom, adds SSO, SCIM, audit logs and HIPAA with a BAA
  • Free trial: 30 minutes, no credit card required

Sonix advertises "99% accuracy" for its AI transcription. Treat that as a vendor claim: results depend heavily on audio quality.

Who it's for

Anyone with irregular transcription needs, such as a researcher transcribing a batch of interviews once a term, and teams that want an API or a large volume of uploads in 54+ languages.

Where it falls short

Sonix is upload-first: it is not a live meeting notetaker. There is no human transcription service. Subscriptions price the workspace, not each person, so adding seats costs extra without adding hours.

Trint Review

Trint is built for journalists and media organizations. It transcribes uploaded and live content in 50+ languages, translates into 70+ languages, generates AI summaries, creates captions and lets teams collaborate on transcripts in real time. The Business plan adds integrations with newsroom systems such as ENPS, Mimir, LiveU and Octopus.

Pricing

  • Pro (individuals only): $79 per seat/month billed annually ($948 a year) or $100 month to month. Unlimited fair-use transcription, unlimited translations, 1 hour of live transcription a month
  • Team (2 to 5 members): $69 per seat/month billed annually ($828 a year) or $90 month to month. Shared drives and real-time collaboration, 1 hour of live transcription per seat a month
  • Business: custom pricing. Advanced live transcription, automatic language recognition, SSO, SCIM, API and a dedicated EU-based server option
  • Free trial: 7 days. Trint's help center says the trial transcribes the first 5 minutes of up to 3 files

Trint's "unlimited" is fair use: its pricing FAQ says archive projects, continuous live transcription and bulk volume projects are not included.

Who it's for

Newsrooms, broadcasters, documentary teams and communications teams that turn interviews and live events into stories quickly and need several people editing the same transcript.

Where it falls short

It is the most expensive tool here per seat, and there is no free plan. Live transcription on Pro and Team is limited to an hour a month. There is no human transcription option. Bulk archive work falls outside the fair-use terms.

How to Choose by Use Case

You need a transcript you can quote or file

Choose a human service. Rev ($1.99 per minute, 99%+ accuracy stated, 12 hours or less) and HappyScribe (from $2.00 per minute, 99% accuracy stated, from 4 hours) both offer it. For legal formatting, Rev sells legal-formatted transcripts priced per page.

You transcribe meetings

Choose Otter.ai if you want live transcripts during the call and a low price. Rev and HappyScribe also have notetakers, which helps if you also upload files or need human transcription. Teams comparing dedicated meeting assistants should read our guide to AI note takers for meetings.

You transcribe interviews, lectures or podcasts as files

For occasional files, Sonix pay-as-you-go at $10 an hour avoids a subscription. For regular English or Spanish work, Rev Essentials includes 5,000 AI minutes per seat a month. For podcasts and video you will edit, Descript.

You work in many languages

HappyScribe (150+ for AI) and Sonix (54+) cover the most. Trint lists 50+ and Rev's Pro plan 37+. Otter's six languages and Descript's Latin-alphabet limit rule them out for many non-English projects.

You run a newsroom or media team

Trint is built for this, with live capture, real-time collaboration and newsroom integrations. Budget for $69 to $100 per seat per month.

You want the lowest cost

Otter Basic (300 minutes a month, but 30 minutes per conversation) and Rev Free (45 AI minutes) are the most useful free plans. Among paid options, Otter Pro at $8.33/user/month billed annually and HappyScribe Basic at $8.50/month billed annually are the cheapest subscriptions, and Sonix pay-as-you-go is the cheapest way to handle a one-off batch.

AI vs Human Transcription and Accuracy Claims

Every vendor in this guide publishes an accuracy figure or a promise somewhere, and they are not measuring the same thing.

  • Human transcription guarantees are the most meaningful. Rev states its human transcripts are 99%+ accurate, and its Legal Premium Transcript 99.7%+ after multiple quality checks. HappyScribe states 99% accuracy for its human-made services. These are claims about a service where a person listens to the audio, so they hold up better on difficult recordings.
  • AI accuracy claims describe results on the vendor's own test audio. Sonix advertises 99% accuracy for AI transcription. Other vendors in this guide make less specific claims. None of these numbers tell you how a tool will handle crosstalk, a phone recording in a café, or industry jargon.

In practice, the things that change AI accuracy most are on your side: a decent microphone, one speaker at a time, and little background noise. Custom vocabulary helps with names and jargon, and several tools offer it: Otter (5 terms on Basic, more on paid plans), Sonix (custom dictionary) and HappyScribe (glossaries and style guides).

A sensible workflow for many teams is AI first, human when it matters. Transcribe everything with AI, proofread the transcripts you use internally, and send the handful of recordings you will publish, quote or file in court to a human service. Rev and HappyScribe let you do both in one account, which is the main reason they rank high in this guide.

Pricing Comparison

Trint7-day trialPro $79/seat/month$100/seat/monthNone

Per-minute vs subscription: Sonix's $10 per hour works out to about 17 cents per minute, and HappyScribe sells extra AI minutes at $0.20 each. A subscription starts to pay off once you transcribe several hours a month. Rev Essentials at $29.99 month to month with 5,000 AI minutes, for example, costs less than Sonix pay-as-you-go once you pass three hours of audio. Human transcription is per minute everywhere, so a one-hour interview costs about $120 at Rev or HappyScribe before any subscription discount.

Per person vs per workspace: Otter, Descript, Rev and Trint charge per seat. HappyScribe's paid plans include 1, 3 or 5 seats. Sonix prices the workspace and charges $25 a month per extra seat, which does not add hours.

Final Recommendation

Rev is the best transcription software for most people because it covers the full range in one account: a free AI tier to start, generous AI minutes on paid plans, an AI notetaker for meetings, and human transcription with a stated 99%+ accuracy for recordings where mistakes are not acceptable. Its main drawbacks are language limits on the lower plans and pricing pages written for legal teams.

Pick Otter.ai if your recordings are mostly meetings and you want a live transcript at a low price. Pick HappyScribe if you work across many languages or need subtitles. Pick Descript if the transcript is a step in editing a podcast or video. Pick Sonix if you transcribe irregularly and want to pay only for what you upload. Pick Trint if you run a newsroom or media team that collaborates on transcripts and live events.

Whichever you choose, run one of your own typical recordings through the free plan or trial first. Accuracy claims are vendor numbers, and the only accuracy figure that matters is the one you get on your own audio.

Frequently asked questions

For most people, Rev: it offers AI transcription with a free tier (45 minutes a month), paid plans with 5,000 or 10,000 AI minutes per seat, an AI notetaker for meetings, and human transcription at $1.99 per minute when you need a guaranteed transcript. Otter.ai is the better pick if you mainly transcribe live meetings.
