Appointment scheduling software lets clients pick a time, pay, answer a few questions and get reminders without a phone call. The tools differ a lot once you look at what each plan includes: one sends text reminders on its free plan, another charges for every SMS, and a third only unlocks payments on its top tier.
This guide compares seven tools for taking client bookings: Acuity Scheduling, Calendly, Square Appointments, Setmore, SimplyBook.me, Zoho Bookings and Cal.com. It is written for service businesses, consultants and coaches, clinics and therapists, and sales teams that book calls with prospects. All prices are USD list prices taken from each vendor's own pricing page in October 2026.
What matters most for client booking:
- Free plan limits: staff, bookings or event types before you pay.
- SMS reminders: which plan includes them, and whether texts cost extra.
- Payments and deposits: taken at booking, and through which processors.
- Staff and locations: per-user, per-account or per-location pricing.
- Intake forms: collecting details, consent or health information before the visit.
- Branding: removing the vendor's logo from your booking page.

Acuity Scheduling
Acuity Scheduling, owned by Squarespace, is built for businesses that sell their time: coaches, therapists, trainers, tutors, beauty and wellness providers. Payments, deposits, packages and intake forms are central to the product.
What it does well for client booking
Every plan includes client self-scheduling with unlimited services and appointments, payments and deposits through Stripe, Square, PayPal or Venmo, custom client intake forms, confirmation, reminder and follow-up emails, and automatic time zone conversion for clients. Intake forms are where Acuity stands out. You can collect client details, terms and conditions and other information before the visit, which is what a clinic or coach needs.
The Standard plan adds the features that most growing service businesses end up wanting: text message reminders (Acuity notes that availability varies by country), appointment packages including payment plans, subscriptions, memberships and gift certificates, and a waitlist that notifies clients when a slot opens. Premium adds a signed BAA for HIPAA compliance, the option to hide the "Powered by Acuity Scheduling" footer, multiple time zones for staff and locations, custom API and CSS, and an AI booking assistant.
Pricing
Acuity has no free plan. Every plan has a 7-day free trial with no credit card. Prices are per account, and annual billing saves 20%:
- Starter: $16/month billed annually, or $20 billed monthly. 1 calendar.
- Standard: $27/month billed annually, or $34 billed monthly. Up to 6 calendars.
- Premium: $55/month billed annually, or $69 billed monthly. Up to 36 calendars.
Acuity uses calendars for staff or locations, so a business with four practitioners needs four calendars and therefore the Standard plan. Acuity's pricing page says there are no setup, cancellation or support fees. An Enterprise offering with unlimited calendars is available through its sales team.
Pros
- Payments and intake forms are included from the cheapest plan
- Per-account pricing keeps costs flat for small teams
- Strong set of selling tools: packages, memberships, gift certificates
- HIPAA option for health and therapy practices on Premium
Cons
- No free plan, only a 7-day trial
- Starter has no text reminders
- Acuity branding stays unless you pay for Premium
- The admin settings are dense, so setup takes longer than with simpler tools
Who should use it, and who should skip it
Choose Acuity if you run a service business with up to a few dozen staff and want payments, intake forms and client-facing extras in one tool. Skip it if you need a free plan, if you only book internal or sales calls, or if you run a large multi-location business that needs room and equipment booking, where Square Premium or SimplyBook.me Enterprise list dedicated tools.
Calendly
Calendly is the best-known scheduling link and the default choice for consultants, agencies, recruiters and sales teams. It is strongest when the appointment is a call or a video meeting and when several people on a team share the load.
What it does well for client booking
The free plan gives one user one event type and one connected calendar, which is enough to test the experience. Standard is where Calendly becomes useful for clients: unlimited event types, up to 6 connected calendars, automated reminders, a cancellation policy, booking on behalf of others and payments at booking through Stripe and PayPal. Standard also lists custom payment links, meeting packages for prepaid sessions and invoices for project-based work, plus the option to remove Calendly branding.
Text reminders run through Calendly Workflows. Calendly's help center says text messages are available on Standard and higher plans, are sent through Twilio from a randomly generated number, and cannot be sent during the trial.
The Teams plan adds round-robin distribution, routing forms that screen and route invitees based on their answers, admin-managed event types, Salesforce and Marketo integrations, and an optional SAML SSO add-on. This is the plan a sales team or a multi-consultant firm needs.
Pricing
Calendly bills per seat. Seats are needed for users who connect calendars and host meetings; invitees do not need a seat.
- Free: $0. One event type, one calendar connection, one-on-one scheduling.
- Standard: $10/seat/month billed yearly, or $12 billed monthly.
- Teams: $16/seat/month billed yearly, or $20 billed monthly.
- Enterprise: starts at $15k/year, from 50 seats.
An optional Notetaker and Callie AI add-on raises Standard to $18 and Teams to $24 per seat per month billed yearly. A 14-day trial is available; at the end of it the account moves to the Free plan.
Pros
- Very easy for invitees, and most clients have used a Calendly link before
- Payments, packages and branding removal on the Standard plan
- Routing forms and round-robin are well suited to sales teams
- Large integration list, including HubSpot, Zapier and Salesforce
Cons
- Per-seat pricing grows quickly with a large team
- Intake-style routing forms need the Teams plan
- No gift certificates, memberships or point of sale like service-business tools
- Text reminders are not available during the trial
Who should use it, and who should skip it
Choose Calendly if your appointments are mostly calls, demos, discovery sessions or consultations, especially with a team that shares leads. Skip it if you run an in-person business with walk-in style services, resources or a front desk, or if you need gift certificates and memberships; Acuity, Square Appointments or Setmore fit that better.
Square Appointments
Square Appointments is Square's booking product, tied to Square's payments and point of sale. It is aimed at salons, barbers, spas, studios and other in-person services.
What it does well for client booking
For an in-person business, this is the most complete free plan here. Square lists an online booking site and booking integrations, appointment reminders by text and email, and unlimited staff calendars with no employee limit. Clients can pay in advance for specific services, leave a partial deposit and check out with Apple Pay or Google Pay in the booking flow. Square Assistant lets clients reply to SMS reminders to confirm, cancel or change the appointment, and the calendar updates.
Square Plus adds the tools a busier shop needs: cancellation policies with no-show fees charged to a card on file, multi-staff appointments (one booking with services from different staff), class booking and packages, a waitlist, multi-location management, Google Calendar sync, a daily booking limit and the Bookings API. Square Premium adds resource management (rooms, chairs, stations), a future bookings report, service cost tracking and a team performance report.
Pricing
Square charges a monthly fee per location on paid plans, plus card processing:
- Square Free: $0/month. In-person card payments 2.6% + 15¢; online 3.3% + 30¢.
- Square Plus: $49/month per location. In-person 2.5% + 15¢; online 2.9% + 30¢. Includes 500 marketing texts per month, then 3¢ each.
- Square Premium: $149/month per location. In-person 2.4% + 15¢; online 2.9% + 30¢. Includes 2,500 marketing texts per month, then 1.5¢ each.
- Square Pro: custom pricing for businesses processing over $250,000 a year.
Plus and Premium each have a 30-day free trial. Manual card entry and card-on-file payments cost 3.5% + 15¢ on all plans.
Pros
- Unlimited staff and text reminders at $0 per month
- Bookings, payments and point of sale in one system
- Two-way text replies update the calendar automatically
- Clear path to resource booking and multi-location
Cons
- Processing fees are the real cost, and Free has the highest online rate
- No-show fees, waitlist and multi-location need Plus at $49 per location
- Less suited to remote consultations and video calls than Calendly or Cal.com
- Works best if you also use Square for payments
Who should use it, and who should skip it
Choose Square Appointments if your clients come to you and pay by card, and you want booking, payments and POS together. Skip it if your appointments are mostly online sessions, if you want detailed intake forms like Acuity's, or if you already use another payment processor and do not want to switch.
Setmore
Setmore is a booking tool for small service businesses that want a free plan for a few staff and a low per-user price when they upgrade.
What it does well for client booking
The Free plan covers up to 4 users with unlimited appointments, a booking page, group classes, online and in-person payments (including Tap to Pay), Square, Stripe, PayPal and LawPay connections, email confirmations and one email reminder per appointment, Reserve with Google and Facebook and Instagram "Book Now" buttons. That is a lot for $0.
The Pro plan removes the user limit and adds SMS reminders, a second reminder, 2-way calendar sync, recurring appointments, video appointments, deposits, custom availability per service, removal of Setmore branding, Google review requests, the ability to block customers and API access. Each Pro team member gets 500 SMS credits per month, with more available to buy in the app; Setmore notes that SMS availability varies by country. Setmore also offers a Live Receptionist phone answering service in the US as a separate $99/month add-on, and markets a HIPAA-focused product called Setmore Health.
Pricing
- Free: $0, up to 4 users.
- Pro: $5/user/month billed annually, or $12/user/month billed monthly. Unlimited users.
- Enterprise: contact sales.
Setmore counts each staff calendar as a user, even if that person does not log in. Pro can be tried risk-free for 30 days with a refund on request.
Pros
- Generous free plan for small teams
- Very low annual per-user price on Pro
- SMS credits included rather than sold separately
- Good local discovery options such as Reserve with Google
Cons
- Monthly billing on Pro costs more than double the annual rate
- 2-way calendar sync needs Pro
- Deposits need Pro
- Each staff calendar counts as a paid user
Who should use it, and who should skip it
Choose Setmore if you are a small salon, clinic, studio or trades business and want text reminders at the lowest cost per person, paid annually. Skip it if you will only pay monthly, if you need routing forms for a sales team, or if you need detailed packages and memberships, where Acuity is stronger.
SimplyBook.me
SimplyBook.me is a flexible booking system used by salons, clinics, schools, gyms and public services. Its pricing is based on booking volume and number of providers rather than per user, which makes it attractive for larger teams.
What it does well for client booking
Each plan includes a monthly booking allowance, a number of providers and a number of premium "custom features". Custom features are SimplyBook.me's add-on modules: point of sale, intake forms, memberships, gift cards, custom email, HIPAA and SOAP notes are examples the vendor lists. You switch them on as needed, up to your plan's limit. Every plan includes a booking website, a booking widget, the admin app, recurring appointments, event bookings, automatic confirmation and reminder emails, and multiple user roles.
The Basic plan adds payments, deposits, tips and POS. Standard adds a branded client app, HIPAA and SAML SSO. Premium adds Payments PRO (refunds, payment links and saved cards), QuickBooks, FreshBooks and Xero integrations, and a white-label page footer. Enterprise adds a multi-location cluster interface, an account manager, high-load API and a choice of data location.
SMS is the main catch. SMS credits are sold separately at $8 per 100, as are WhatsApp credits ($8 per 100). SimplyBook.me says it charges no transaction fees of its own; your payment processor's fees still apply.
Pricing
Annual billing saves up to 17%:
- Free: $0. 50 bookings per month, 1 custom feature, 1 provider.
- Basic: $11.9/month billed annually, or $13.9 billed monthly. 100 bookings, 3 custom features, 5 providers.
- Standard: $24.9/month billed annually, or $29.9 billed monthly. 500 bookings, 8 custom features, 15 providers.
- Premium: $49.9/month billed annually, or $59.9 billed monthly. 2,000 bookings, unlimited custom features, 30 providers.
- Enterprise: custom pricing.
New accounts start with a 14-day free trial without a credit card. Extra bookings cost $4 per 100. A done-for-you setup starts at $499.
Pros
- Many providers included for one flat fee
- Wide feature set across industries, including HIPAA and SOAP notes
- No SimplyBook.me transaction fees on payments
- Free plan with no time limit (it must be renewed monthly)
Cons
- SMS reminders cost extra on every plan
- Booking caps mean busy months can push you to a higher plan
- The custom feature system takes time to learn
- The Free plan allows only 50 bookings and one provider
Who should use it, and who should skip it
Choose SimplyBook.me if you have 5 to 30 staff and want a flat monthly bill, or if you need industry modules such as SOAP notes or memberships. Skip it if you want SMS included in the price, if you are a solo consultant who only needs a link (Calendly or Cal.com are simpler), or if you dislike configuring settings.
Zoho Bookings
Zoho Bookings is the scheduling app in the Zoho suite. It works on its own but makes most sense for businesses already using Zoho CRM or Zoho One.
What it does well for client booking
The free plan covers one user with online meetings, notification emails and reminders, and two-way calendar sync with Zoho, Google and Microsoft 365 or Outlook.com. The Basic plan adds users, round-robin distribution, collective bookings, user roles, multiple schedules, appointment reports and Zoho CRM sync to standard modules.
Most features that matter for client booking are on Premium: payment providers, SMS workflows and SMS provider integrations, WhatsApp notifications, routing forms, recurring and group bookings, a customer portal, appointment limits, revenue reports, white labeling, a custom domain and custom CSS. Premium also includes 3 workspaces (for locations or departments), with more available as add-ons. Resources such as rooms and equipment are a paid add-on on Premium. Zoho One customers get the Premium plan included.
Pricing
Zoho Bookings bills per user. Yearly billing saves over 25%:
- Free: $0, one user.
- Basic: $6/user/month billed yearly, or $8 billed monthly.
- Premium: $9/user/month billed yearly, or $12 billed monthly.
- Flex: custom plan through sales.
Zoho offers a 15-day free trial with the Premium plan enabled and no credit card.
Pros
- Low per-user price for Premium features
- Strong fit with Zoho CRM and Zoho One
- Routing forms and round-robin for teams
- Workspaces help organize locations or departments
Cons
- Basic has no payments, SMS or white labeling
- SMS needs a connected SMS provider
- Resource booking is a paid add-on
- Less polished for in-person retail-style businesses than Square
Who should use it, and who should skip it
Choose Zoho Bookings if you already run your business on Zoho apps, or if you want Premium-level features (payments, SMS, routing) at $9 per user per month billed yearly. Skip it if you would only use Basic for client booking, or if you need POS, packages and gift certificates.
Cal.com
Cal.com is an open-source scheduling platform. It competes with Calendly on features and has a free plan that is unusually generous for one person.
What it does well for client booking
The free plan, for one user, includes unlimited event types and calendars, email and SMS notifications, Stripe and PayPal payments, more than 100 app integrations, two-way Salesforce and HubSpot sync, the mobile app and a one-click import of Calendly events. For a solo coach or consultant who wants to take paid bookings, that covers most needs at $0.
Teams adds one team with shared availability, round-robin scheduling, managed and collective event types, recurring events, customizable email and SMS notifications, routing forms, booking analytics, custom APIs and removal of Cal.com branding. Organizations adds unlimited sub-teams, routing by custom variables, a company subdomain, SAML SSO and SCIM, role-based permissions and compliance with SOC 2, HIPAA and ISO 27001.
Cal.com also lists requiring confirmation before a booking is final, seats for group sessions, custom booking questions and booking limits.
Pricing
- Free: $0 for one user, free forever.
- Teams: $12/user/month billed yearly.
- Organizations: $28/user/month billed yearly.
- Enterprise: custom pricing, billed annually.
Teams and Organizations each have a 14-day free trial. The pricing page shows yearly prices with a 25% saving; we could not confirm the monthly price on Cal.com's site, so we leave it out here.
Pros
- Most capable free plan for a solo professional
- Payments without a paid plan
- Flexible booking rules and limits
- Open source and self-hostable
Cons
- Removing Cal.com branding needs Teams
- HIPAA compliance needs the Organizations plan at $28 per user
- Fewer service-business extras such as gift certificates, memberships or POS
- Many settings, which can slow first-time setup
Who should use it, and who should skip it
Choose Cal.com if you are an individual who wants paid bookings for free, or a technical team that wants routing and API control. Skip it if you run an in-person business that needs POS, packages and gift certificates, or a clinic that needs HIPAA on a small budget (Acuity Premium or SimplyBook.me Standard cost less for a small team).
What It Costs: Three Realistic Examples
These examples use annual billing where offered, the lowest plan that covers the needs listed, and list prices from each vendor's pricing page. Taxes and payment processing are extra. For Square, card fees are part of the cost and depend on your sales.
A solo coach who wants paid bookings and text reminders
- Cal.com Free: $0 a year. Payments and SMS notifications are on the free plan.
- Square Appointments Free: $0 a year, plus processing (online 3.3% + 30¢ per payment).
- Setmore Pro: $5 × 12 = $60 a year, with 500 SMS credits per month.
- Calendly Standard: $10 × 12 = $120 a year.
- Zoho Bookings Premium: $9 × 12 = $108 a year (Basic has no payments or SMS).
- SimplyBook.me Basic: $11.9 × 12 = $142.80 a year, plus SMS credits at $8 per 100.
- Acuity Standard: $27 × 12 = $324 a year (Starter at $192 a year has no text reminders).
A 5-practitioner clinic or studio with payments, SMS reminders and intake forms
- Square Appointments Free: $0, plus processing. Plus at $49 × 12 = $588 a year adds no-show fees and a waitlist.
- SimplyBook.me Basic: $142.80 a year for 5 providers, plus SMS credits. If you need more than 100 bookings a month or more custom features, Standard is $24.9 × 12 = $298.80.
- Setmore Pro: 5 users × $5 × 12 = $300 a year.
- Acuity Standard: $324 a year, covering up to 6 calendars.
- Zoho Bookings Premium: 5 × $9 × 12 = $540 a year.
- Calendly Standard: 5 × $10 × 12 = $600 a year; Teams for routing forms is 5 × $16 × 12 = $960.
- Cal.com Teams: 5 × $12 × 12 = $720 a year.
A 3-location business with 15 staff in total
- SimplyBook.me Standard: $298.80 a year for up to 15 providers and 500 bookings a month; Premium at $49.9 × 12 = $598.80 raises that to 30 providers and 2,000 bookings. The multi-location cluster interface is on Enterprise, priced by quote.
- Acuity Premium: $55 × 12 = $660 a year for up to 36 calendars, with multiple time zones for staff and locations.
- Setmore Pro: 15 × $5 × 12 = $900 a year.
- Zoho Bookings Premium: 15 × $9 × 12 = $1,620 a year, with 3 workspaces included.
- Square Appointments Plus: 3 locations × $49 × 12 = $1,764 a year, plus processing.
- Calendly Standard: 15 × $10 × 12 = $1,800 a year.
- Cal.com Teams: 15 × $12 × 12 = $2,160 a year.
Per-account and per-plan pricing (Acuity, SimplyBook.me) gets cheaper relative to per-user pricing as a team grows.
How to Choose
If clients come to your premises and pay by card, start with Square Appointments. The free plan already covers unlimited staff and text reminders. Add Plus when you need no-show fees, a waitlist or more than one location.
If you sell sessions, packages or memberships, choose Acuity Scheduling. Plan on Standard to get text reminders, packages and gift certificates. Choose Premium if you need HIPAA, your own branding or staff in different time zones.
If your appointments are calls or video meetings, choose Calendly or Cal.com. Calendly's Teams plan is the stronger option for sales teams that need routing forms and Salesforce. Cal.com is better if you are on your own and want payments without paying for a plan.
If you want the lowest cost for a small team, look at Setmore Pro billed annually, or SimplyBook.me if you have many staff and moderate booking volume. Remember that SimplyBook.me charges for SMS separately.
If you run on Zoho, use Zoho Bookings Premium. The CRM sync and routing are worth the step up from Basic.
Before you commit, check these points against your own setup:
- Do text reminders cost extra? Included on Square Free, Setmore Pro, Acuity Standard, Calendly Standard and Cal.com Free. Sold as credits on SimplyBook.me. Zoho Premium needs an SMS provider.
- Can clients pay or leave a deposit at booking? Every tool here supports payments, but on Zoho Bookings only Premium does, Setmore's deposits need Pro, and Calendly's free plan has no payments.
- How is staff counted? Per seat (Calendly, Zoho, Cal.com, Setmore), per account with calendar limits (Acuity), per plan with provider limits (SimplyBook.me) or per location (Square).
- Do you need intake forms or HIPAA? Acuity has intake forms on all plans and a BAA on Premium. SimplyBook.me lists HIPAA from Standard. Cal.com lists HIPAA on Organizations. Setmore offers a separate Setmore Health product.
- Can you remove the vendor's branding? Calendly from Standard, Setmore on Pro, Cal.com from Teams, Zoho on Premium, SimplyBook.me footer on Premium and Acuity on Premium.
Book a test appointment on a phone during the trial and check the reminder you receive.
