Rippling

Rippling provisions apps by rule, ships configured laptops and handles documents on the same employee record as payroll. The catch is quote-only, modular pricing that grows with each module.

What to Look for in Employee Onboarding Software in 2026

Onboarding software should get a new hire from signed offer to a productive first week without HR chasing forms or IT scrambling for a laptop. The tools differ in how much of that they do and where they sit in your stack.

There are two broad types in this guide:

  • All-in-one HR platforms with onboarding built in. Rippling, BambooHR, HiBob and Gusto. Onboarding runs on the same employee record as payroll, time off and documents, so data entered once flows everywhere.
  • Dedicated onboarding experience tools. Enboarder and Click Boarding. They sit on top of an HRIS you already have (Workday, SAP SuccessFactors, BambooHR and others) and focus on the new hire journey, compliance forms and stakeholder tasks. They are not a system of record.

What we checked, based on vendor pricing pages, product pages and help docs:

  1. Pre-boarding. Can the new hire fill in forms and sign documents before day one?
  2. Task checklists across HR, IT and managers. Look for tasks per stakeholder, with reminders and completion tracking.
  3. E-signature and compliance forms. For US employers: W-4, I-9 and often E-Verify. Is e-sign built in, and do I-9 and E-Verify cost extra?
  4. Device and app provisioning. Some tools create accounts and ship laptops. Others only remind IT. This is the biggest difference in this group.
  5. Integrations. A dedicated onboarding tool is only as good as its HRIS and ATS connectors.
  6. Pricing you can plan around. Most tools here are quote only. Only Gusto and BambooHR publish plan prices (BambooHR still quotes its add-ons), and Rippling gives only a starting per-employee rate.

One note on the list itself. Sapling, once a common pick for onboarding, is not included. Kallidus no longer sells Sapling on its website: the product pages are gone and only a customer login remains. HiBob takes its place as an HRIS with onboarding workflows in its Core package.

Rippling review

Rippling is the top pick because it treats onboarding as more than paperwork. It promises onboarding automation "from offer letters to device shipping," with HR, payroll, identity and device management on one employee record.

Key features

  • Onboarding automation that runs from the offer letter through to device shipping.
  • App provisioning by rule. Rippling creates app accounts at hire, either immediately or on a schedule, and removes them at offboarding. It offers SSO and lists 600+ integrations.
  • Device management for Mac and Windows: zero-touch enrollment, remote lock and wipe, and shipping of configured laptops to new hires. Leavers get a prepaid return box.
  • Document management that stores documents, collects signatures and keeps audit trails.
  • Payroll on the same record, including US payroll, global payroll through your own entities, and Employer of Record (EOR) where you have no entity.

The product pages we checked do not describe I-9 or E-Verify handling in the onboarding flow, so ask about US employment verification in a demo if you need it.

Pricing

Rippling's pricing page says plans start at $8 per employee per month, plus a monthly base fee. The base fee is not published, and neither are per-product prices. Most products are priced per employee per month, you pay for the modules you pick (HR, payroll, IT, global, finance), and the final number comes from a sales quote. No free plan or free trial is stated. Eligible US VC-backed startups can get 6 months free, depending on funding status and stage.

Onboarding with app provisioning and laptop shipping means buying IT modules on top of HR, so the quote grows with each module.

Pros

  • New-hire automation covers offer letters, app accounts and device shipping
  • One system for HR, payroll, IT devices and apps
  • App access is removed by rule when someone leaves
  • EOR, global payroll and contractor payments on the same platform

Cons

  • Quote-based, modular pricing is hard to compare
  • Paying per module adds up for teams that want the full suite
  • More setup and admin than a simpler HR tool for very small teams

Who should use it

Companies hiring steadily, often with remote staff, where the slow part of onboarding is IT: accounts, permissions and laptops.

Who should skip it

Very small teams that only need forms signed, and anyone who needs a published price for budget approval.

BambooHR review

BambooHR is a US-focused HRIS for small and mid-sized businesses, and onboarding is part of its Core plan rather than an extra. For onboarding specifically, it has one of the most complete US paperwork stories among the all-in-one tools here, with built-in I-9 and E-Verify workflows.

Key features

  • Pre-onboarding packets and self-paced onboarding, so new hires can finish forms before day one.
  • "Get to Know You" emails that introduce the new hire to the team.
  • Customizable onboarding checklists with automated tasks and reminders for everyone involved.
  • E-signatures for tax forms, I-9 and direct deposit, with document status reports so HR can see what is missing.
  • Built-in I-9 and E-Verify workflows, powered by Mitratech.
  • Offer letter templates and hiring tools (candidate records, job posting) in Core.

BambooHR's onboarding pages do not mention creating app accounts or shipping devices. IT tasks can sit on a checklist, but the work itself happens elsewhere.

Pricing

BambooHR has three plans. On its pricing page, plan cards show Core at about $10 per employee per month, Pro at about $17 and Elite at $25. The FAQ on the same page lists $10.25 and $17.50 for Core and Pro, so expect small differences in your quote. Per-employee pricing applies above 25 employees, with automatic volume discounts.

Companies with 25 or fewer employees pay a flat monthly rate:

  • Core: $250/month
  • Pro: $425/month
  • Elite: $650/month

You can pay month to month or on a longer term. Bundling Payroll and Benefits Administration (US employees only) gives 15% off, and registered nonprofits get 15% off. Payroll, Benefits Administration, Time & Attendance and Global Employment (powered by Remote) are add-ons quoted by sales, so the full price still comes through a quote. Promotion: eligible customers who sign up between August 1 and December 31, 2026 with a 12-month commitment pay $0 in Payroll subscription fees through December 31, 2026. There is no free plan. BambooHR's pages mention a free trial, but we could not confirm its length.

Pros

  • Onboarding, hiring, time off and eNPS surveys all included in Core
  • Built-in I-9 and E-Verify workflows and e-signatures for onboarding
  • Pre-onboarding packets let new hires finish paperwork before day one
  • Published per-employee prices and volume discounts

Cons

  • Small teams pay a flat $250+/month regardless of headcount
  • No IT or app provisioning shown in its onboarding features
  • Payroll and benefits are US-only and priced separately

Who should use it

US small and mid-sized businesses that want onboarding, records and time off in one place, and that care most about getting I-9s, tax forms and direct deposit done before the first day.

Who should skip it

Teams with only a handful of employees (the $250 flat rate is steep for five people), and companies where onboarding friction is mostly IT setup rather than paperwork.

Enboarder review

Enboarder is a dedicated onboarding experience platform. It sits on top of your HRIS and runs the journey: what the new hire sees, what the manager is nudged to do, and what IT needs to finish before the start date.

Key features

  • Preboarding and onboarding journeys personalized by geography, business unit, role and stakeholder, from the offer letter to day-one readiness. HR can track completion before the start date.
  • Nudges and reminders for every stakeholder, including the new hire, manager, IT and others.
  • No-login, mobile-first delivery by SMS and WhatsApp, plus email, Slack and Microsoft Teams, with multilingual support.
  • AI ramp plans. The New Hire Enablement plan adds AI-generated 30-60-90 day plans, role-based enablement journeys and time-to-productivity dashboards.
  • US compliance add-on covering W-4, I-9, remote I-9 verification, E-Verify integration and a compliance dashboard.
  • Integrations with HRIS and ATS systems such as Workday, SAP SuccessFactors, Greenhouse, Lever, SmartRecruiters, BambooHR, HiBob and Rippling. E-signature runs through DocuSign and Adobe Sign, and IT tasks through ServiceNow.

Enboarder's own pages give two integration figures: the integrations page says 120+ ATS and HRIS integrations, and the pricing page says 85+ native apps plus APIs, webhooks, SFTP and iPaaS.

Pricing

Custom quote only. Enboarder says it doesn't have one-size-fits-all pricing and tailors each quote to the company. It lists three core plans without prices:

  • Intelligent Onboarding: preboarding and onboarding workflows, US federal, state and local compliance, personalized journeys, nudges and reminders, dashboards.
  • AI-Assisted Employee Journeys: lifecycle journeys from onboarding to offboarding, with context-aware support and automated actions.
  • New Hire Enablement: AI 30-60-90 ramp plans, role-based enablement journeys, hiring manager tools and time-to-productivity dashboards.

Add-ons, also unpriced: Compliance (W-4, I-9, remote I-9, eVerify integration, compliance dashboard) and Integrations (85+ native apps, APIs and webhooks, SFTP, iPaaS). No free plan or trial is stated; you can book a demo.

Pros

  • Journeys personalized by role, location and business unit, from offer to offboarding
  • No-login mobile delivery via SMS and WhatsApp suits frontline hires
  • Wide integration list: 120+ ATS/HRIS connectors stated, plus Slack, Teams, ServiceNow, DocuSign
  • Optional U.S. compliance add-on covers I-9, remote I-9 and E-Verify

Cons

  • No public pricing
  • Compliance forms cost extra as an add-on
  • Not an HRIS: needs a separate system of record

Who should use it

Mid-size and large companies that already run an HRIS and want a better new hire experience on top, especially with frontline or deskless hires who may never log into a laptop in their first week.

Who should skip it

Small companies without an HRIS (you would be buying two systems), and teams that mainly need forms signed and filed.

Click Boarding review

Click Boarding is another onboarding layer that syncs to your HRIS, but it leads with US compliance: forms, signatures and audit-ready records across every employee transition.

Key features

  • Workflows for every transition: preboarding, onboarding, offboarding, crossboarding, promotions and M&A transitions.
  • Mobile-first preboarding that walks new hires through forms, signups and notices.
  • Form I-9 inside the platform, with Section 2 completed in person or remotely and optional E-Verify. Optional I-9 services include notary, auditing, remediation, imaging and I-9 migration.
  • Built-in, audit-ready eSignature (Click Boarding's own, not a third-party tool).
  • Tax forms updated automatically per country and state, and offboarding with state-mandated separation notices and COBRA.
  • 250+ integrations stated, across ATS, HRIS, ERP, CRM and LMS, including Workday, SAP SuccessFactors, UKG, ADP, Paylocity, BambooHR, SmartRecruiters, Workable, Taleo, ServiceNow, Microsoft 365 and background-check vendors.

Its integrations page names Microsoft 365 and Teams but not Slack. Its pages also do not mention IT provisioning, so account and device setup stays with your IT tools.

Pricing

Click Boarding publishes no prices, and its pricing URL returns a 404. The site offers a demo request and an ROI calculator. No free plan or trial is stated. E-Verify is described as optional, and the site does not say whether it costs extra, so ask.

Pros

  • Covers the full transition cycle: preboarding through offboarding and crossboarding
  • Strong U.S. compliance: I-9 with remote Section 2, optional E-Verify, state tax forms, COBRA notices
  • Native eSignature included
  • Broad integrations with HRIS, ATS, payroll and background-check vendors

Cons

  • No public pricing
  • No Slack integration listed
  • Onboarding layer only, not an HRIS: needs a separate system of record
  • IT provisioning is not mentioned on its pages

Who should use it

US employers with high hiring volume, many states or frequent internal moves, where a missed I-9 deadline or separation notice is a real risk. It also fits companies going through acquisitions.

Who should skip it

Teams that use Slack heavily, companies outside the US where its I-9 and COBRA strengths do not matter, and anyone looking for laptop and app provisioning.

HiBob review

HiBob (the product is called Bob) is an HRIS aimed at growing and mid-market companies, often spread across countries. Onboarding workflows are part of its Core package, which every subscription includes, so you are not buying a separate onboarding module.

Key features

  • Onboarding workflows in Core, triggered automatically by lifecycle events.
  • Workflows that adapt by role, location and site, useful when onboarding in one country looks different from another.
  • Task lists across teams with completion tracking, so HR can see which manager or IT task is still open.
  • Built-in eSign workflows. Documents are generated from live employee data, with version control, audit trails and secure storage.
  • Pre-boarding before the start date. HiBob's help docs describe a pre-boarding invite before the first day, and a step where HR selects company documents for the hire to read and approve. These pages may be older, so confirm the current flow in a demo.
  • Core HRIS with employee database, document management, time off, analytics, integrations and a mobile app.

HiBob's onboarding page does not mention I-9 or E-Verify, or IT and device provisioning. Its ATS (Hiring) is a separate add-on.

Pricing

Custom quote. HiBob says pricing is customized to company size, needs and modules, and is generally calculated per employee. Every subscription includes Core: Bob AI Companion, employee database, document management, time off, lifecycle workflows, integrations, analytics and reporting, and the mobile app. Add-ons include Hiring, Learning, Compensation, Payroll Hub, Time & Attendance and Workforce Planning. HiBob's FAQ groups customers into Growth (under 200 employees), Scale (200 to 1,000) and Enterprise (1,000+). No minimum is stated, and there is no free plan or trial, only a demo.

Pros

  • Onboarding and workflows are part of Core, not an extra module
  • Native eSign and document generation from employee data
  • Workflows adapt by role, location and site for multi-country teams
  • Tasks for different teams are tracked in one workflow

Cons

  • No public pricing
  • ATS (Hiring) and payroll are paid add-ons
  • No U.S. I-9/E-Verify feature shown on the onboarding page

Who should use it

Companies with staff in several countries that want onboarding and HR records in one system, with different steps per location, and that do not need the HRIS to handle IT setup.

Who should skip it

US employers who want I-9 and E-Verify handled inside the onboarding flow, and teams that want a published price before talking to sales.

Gusto review

Gusto is a payroll-first platform for small US businesses with onboarding on every plan. It is the only tool here with fully public, month-to-month pricing.

Key features

  • On all plans: employee self-onboarding, digital I-9s and W-4s, offer letter templates, new hire check-ins, state new hire reporting and email provisioning.
  • On Plus and Premium: custom onboarding checklists, custom offer letters, custom document e-signing, software provisioning, job postings and applicant tracking.
  • Remote I-9 verification at $20 per submission, and E-Verify at $5 per submission on top of Remote I-9. Both are included on Premium.
  • Background checks as an add-on on all plans.
  • Payroll on the same record, with unlimited payrolls and tax filings on every plan.

Pricing

Gusto prices monthly with no contracts, free account setup, and you can switch or cancel anytime:

  • Simple: $49/month + $6/month per person. Basic payroll in one state, plus the onboarding basics above.
  • Plus: $80/month + $12/month per person. Adds multi-state payroll, hiring and ATS, onboarding checklists, time tracking and performance.
  • Premium: $180/month + $22/month per person. Adds Premium Account Support, HR guidance and tools, Gusto Business Compliance, and includes Remote I-9 and E-Verify.

Onboarding-related add-ons: Remote I-9 $20 per submission, E-Verify $5 per submission (on top of Remote I-9), and background checks. There is no free plan or free trial for payroll plans. For international hires, Gusto offers global contractor payments in 120+ countries as an add-on and works with Remote for EOR.

Pros

  • Public pricing with no long-term contract and free setup
  • Self-onboarding with digital I-9s and W-4s included even on Simple
  • Remote I-9 and E-Verify available per submission, included on Premium
  • Health insurance administration with no Gusto admin fee

Cons

  • Custom onboarding checklists and software provisioning need Plus
  • Simple plan covers payroll in one state only
  • Remote I-9 and E-Verify cost extra below Premium

Who should use it

Small US companies that need payroll anyway and want new hires to complete their own paperwork. Plus is the realistic onboarding tier because that is where custom checklists and software provisioning start.

Who should skip it

Companies with many international employees, and larger teams that need laptop shipping or deep app provisioning.

Head-to-Head Comparison

Pre-boarding

Enboarder is strongest on the experience: preboarding from offer letter to day one, delivered by SMS or WhatsApp with no login. BambooHR has pre-onboarding packets and "Get to Know You" emails. Click Boarding walks hires through forms on mobile, and Gusto's self-onboarding covers digital I-9s and W-4s. HiBob describes pre-boarding access, though from help pages that may be older. Rippling focuses on offer letters, documents, app accounts and laptop shipping.

Task checklists across HR, IT and managers

BambooHR and Gusto (Plus and up) offer customizable checklists. HiBob assigns tasks across teams with completion tracking and adapts by role, location and site. Enboarder nudges the new hire, manager and IT in Slack, Teams, email or SMS. Click Boarding covers the most transitions (crossboarding, promotions, M&A). Rippling sets up accounts by rule instead of reminding IT to do it.

If US employment verification is your main worry, Click Boarding and BambooHR have the most complete built-in stories, with Gusto close behind for small teams.

Device and app provisioning

This is where Rippling pulls ahead. It provisions app accounts by rule at hire, immediately or on a schedule, removes them at offboarding, and ships configured Mac or Windows laptops with zero-touch enrollment. Gusto offers email provisioning on every plan and software provisioning on Plus and Premium. Enboarder routes IT tasks through its ServiceNow integration. BambooHR, Click Boarding and HiBob do not mention provisioning on the pages we checked, so IT work stays in your existing tools.

Integrations

The dedicated tools depend on integrations, and both list many. Click Boarding states 250+ integrations across ATS, HRIS, ERP, CRM and LMS. Enboarder states 120+ ATS and HRIS integrations on one page and 85+ native apps on its pricing page, and it connects to BambooHR, HiBob and Rippling among others. Rippling lists 600+ integrations, mainly for app provisioning and SSO. Ask every vendor whether the specific connector you need is native, how often it syncs, and which direction data flows.

Pricing and a worked cost example

Four of the six tools are quote only: Rippling (its $8 per employee floor excludes an unpublished base fee and module prices), Enboarder, Click Boarding and HiBob. We cannot price them honestly, so they are left out of the math below. Get written quotes for the same headcount and modules.

Here is a 20-person US company that hires 6 people a year and wants remote I-9 with E-Verify for each hire.

Gusto Plus (needed for custom checklists and software provisioning):

  • Monthly: $80 + (20 x $12) = $80 + $240 = $320
  • Yearly subscription: $320 x 12 = $3,840
  • Remote I-9 plus E-Verify: 6 hires x ($20 + $5) = $150
  • Total: $3,990 per year, including payroll

Gusto Premium (Remote I-9 and E-Verify included):

  • Monthly: $180 + (20 x $22) = $180 + $440 = $620
  • Yearly: $620 x 12 = $7,440, including payroll

Gusto Simple (basic self-onboarding, one-state payroll, no custom checklists):

  • Monthly: $49 + (20 x $6) = $49 + $120 = $169
  • Yearly: $169 x 12 = $2,028, plus 6 x $25 = $150 for remote I-9 and E-Verify, $2,178 per year

BambooHR Core (flat rate for 25 or fewer employees):

  • Yearly: $250 x 12 = $3,000, with onboarding, I-9 and E-Verify workflows and e-signatures
  • This does not include payroll, which is a quoted add-on. Ask whether any E-Verify or I-9 case fees apply.

BambooHR Core costs less than Gusto Plus on paper, but Gusto's price includes payroll. If you need payroll too, Gusto Plus is the clearer number until you see BambooHR's payroll quote.

How to Choose: Decision Framework

Questions to answer first

  1. Do you already have an HRIS you are happy with? If yes, look at Enboarder or Click Boarding as a layer on top. If no, pick an all-in-one tool and avoid buying two systems.
  2. What breaks most often today? Late paperwork points to BambooHR, Click Boarding or Gusto. Missing laptops and app accounts point to Rippling. Hires who feel ignored before day one point to Enboarder.
  3. Do you hire in the US? If so, decide whether you need I-9 and E-Verify inside the onboarding tool, and check what each one charges for it.
  4. Do you hire across countries? HiBob adapts workflows by location. Rippling adds EOR and global payroll. Gusto works through Remote for EOR.

Red flags

  • A quote that bundles modules you did not ask for.
  • "E-signature included" that turns out to mean a separate DocuSign or Adobe Sign license.
  • I-9 and E-Verify sold as an add-on after you have signed.

What to test in a demo or trial

  • Add a fake hire with a start date two weeks out. See what the hire receives, on which channel, and when.
  • Assign tasks to a manager and IT. Check the reminders and what HR sees when a task is late.
  • Complete an I-9 with a remote Section 2, if relevant, and see where the record is stored.
  • Change the hire's role or location and check whether the workflow updates.
  • Offboard the same person and check what happens to documents, app access and devices.

The Verdict: Final Recommendations

1. Rippling: best overall for onboarding

The only tool here that takes a new hire from offer letter to provisioned apps and a shipped laptop in one flow. Pricing is quote only and modular.

2. BambooHR: best all-in-one HRIS for US SMBs

Pre-onboarding packets, checklists, e-signatures and built-in I-9 and E-Verify in Core, at a flat $250 per month for 25 or fewer employees.

3. Enboarder: best onboarding experience layer

The strongest choice for personalized journeys on top of an existing HRIS, delivered by SMS, WhatsApp, Slack or Teams. Compliance forms are a paid add-on.

4. Click Boarding: best for US compliance

I-9 with remote Section 2, optional E-Verify, native eSignature and offboarding notices cover the most compliance ground. No public pricing.

5. HiBob: best for multi-country teams on one HRIS

Onboarding workflows in Core adapt by role, location and site, with native eSign. No US I-9 or IT provisioning shown, and pricing is by quote.

6. Gusto: best for small US teams on a budget

Public pricing, no contract, and self-onboarding with digital I-9s and W-4s on every plan. Choose Plus for custom checklists.

Conclusion

Start with where onboarding breaks for you. For IT setup, pick Rippling. For US paperwork at a small or mid-sized company, BambooHR or Gusto cover it with visible prices. With an HRIS already in place, compare Enboarder and Click Boarding. Multi-country teams should shortlist HiBob. Whatever you choose, run a fake hire through the whole process before you sign.
