Why choosing a payment processor carefully matters

For most small businesses, card processing is one of the largest costs that grows with sales. At $10,000 a month in card revenue, the difference between a 2.4% effective rate and a 3.5% effective rate is about $110 a month, or roughly $1,300 a year. Fixed per-transaction fees, chargeback fees, monthly subscriptions and payout charges all add to that.

Processors also differ in what they are built for. Square and PayPal are designed to get a small business taking payments in minutes. Stripe is built around developer tools and online checkout. Helcim and Stax pass through the card networks' interchange costs and add a published markup. Authorize.net is a payment gateway that can sit on top of your own merchant account.

This guide compares six US options: Square, Stripe, PayPal, Helcim, Stax and Authorize.net. Every rate and fee comes from the provider's own pricing page, fee schedule or help center as checked in October 2026, in US dollars. Rates change, and some providers offer custom pricing to larger businesses, so confirm current rates before you sign up.

Why Payoneer is not in this list. Payoneer was on our starting list, but it is mainly a cross-border account for receiving and sending payments (for example, freelancers and sellers getting paid by international clients and marketplaces). It is not a card processor for in-person or website checkout in the way the six tools here are. Payoneer also states that fees depend on payment type, method, currency and corridor and are shown in your account before you confirm, and the fees we found on different Payoneer pages did not match. We replaced it with Stax, a US processor with published pricing.

What to look for in a payment processor

1. How you take payments. In person (tap, dip or swipe), online checkout, invoices, keyed-in cards over the phone, and bank payments (ACH) are each priced differently. Keyed payments usually cost the most because they carry more fraud risk.

2. Flat-rate versus interchange-plus. Flat-rate processors (Square, Stripe, PayPal, Authorize.net All-in-one) charge one published percentage plus a fixed fee. Interchange-plus processors (Helcim, Stax) charge the card network's interchange cost plus a markup. Interchange varies by card type: debit cards usually cost less than premium rewards cards. Interchange-plus is usually cheaper at steady volume but harder to predict.

3. Monthly fees. Square Free, Stripe, PayPal's standard checkout and Helcim have no monthly fee. Square Plus and Premium, Stax and Authorize.net do.

4. Chargeback and dispute fees. Square charges no fee for dispute management. Stripe charges $15 per dispute, Helcim $15 only if you lose, PayPal $20 per chargeback on card transactions and $15 to $30 on PayPal disputes.

5. Payout timing. Helcim and Stax fund the next business day. Square transfers for free as soon as the next business day. Stripe pays out automatically every business day after an initial waiting period. Authorize.net typically takes 2 to 3 business days after your batch settles.

6. ACH costs. If you invoice larger B2B amounts, capped ACH fees matter. Stripe caps ACH Direct Debit at $5, Helcim at $6, Square at $10 on paid-plan invoices (Square Free's invoice ACH has no cap), and PayPal at $10 on invoice Pay by Bank.

7. Hardware. Entry readers range from $29 (PayPal's first reader) to $199 (Helcim). Countertop terminals run $199 to $349.

Extra fees that are easy to miss

The headline rate is only part of the bill. These published add-ons can change your real cost:

  • International cards. Stripe adds 1.5% for international cards and another 1% if currency conversion is needed. PayPal adds 1.5% to international commercial transactions. If many customers pay with cards issued abroad, model these in.
  • Buy now, pay later. Square's Afterpay costs 6% + 30¢, PayPal Pay Later 4.99% + 49¢, and Stripe lists Klarna at 5.99% + 30¢. These can lift conversion on larger orders but cost roughly double a normal card payment.
  • Recurring and stored cards. Helcim adds 0.4% to recurring payments. Square charges 3.5% + 15¢ for card-on-file payments, the same as keyed cards.
  • Tap to Pay on a phone. Stripe adds $0.10 per authorization and Helcim adds 10¢ per transaction.
  • Device data plans. Stripe charges $10 per reader per month for cellular data, and Helcim's optional 4G data is $7 per month.
  • Failed and returned bank payments. Stripe charges $4 per failed ACH payment, Helcim $5 per rejected or returned ACH, Authorize.net $3 per returned eCheck, and PayPal $5 per returned ACH through its online payment services.
  • Card updater services. Authorize.net charges $0.25 per Account Updater update; PayPal's optional Account Updater is also $0.25 per update.
  • Surcharging. Some processors let you pass card costs to customers where card network rules and state law allow. Stax offers a surcharging program in which eligible credit card surcharges are paid by the cardholder. Check the rules in your state before adding a surcharge.

Who should skip it. Online-only stores on Square Free (the 3.3% + 30¢ online rate is higher than Stripe's), and businesses that key in many cards, where 3.5% + 15¢ adds up.

Stripe: full review

What it is. Stripe is a payments platform built around APIs. It powers online checkout, subscriptions, invoices, payment links and, through Stripe Terminal, in-person payments.

Larger businesses can request custom pricing, including interchange-plus.

PayPal: full review

What it is. PayPal offers checkout buttons (PayPal, Venmo and Pay Later), card processing, invoicing and an in-person POS. Its US merchant fee page was last updated October 1, 2026.

Key features.

  • Recognized checkout. PayPal Checkout and Pay with Venmo let buyers pay with their existing accounts, which many small online sellers value.
  • Invoicing. Card and PayPal payments on invoices at the standard rates, and Pay by Bank (ACH) at 1% capped at $10.
  • In person. PayPal POS with a Card Reader ($29 for the first unit, $79 for each additional) or a Terminal ($199, or $239 with a barcode scanner). PayPal says the POS has no monthly or setup fees.
  • Advanced card processing. Approved businesses can use Advanced Credit and Debit Card Payments at 2.89% + 29¢ with no monthly fee, and ACH Services at 0.80% capped at $5.

Pricing (US).

  • POS: 2.29% + 9¢ card present; 3.49% + 9¢ manual card entry.
  • International transactions: an extra 1.5%.

Disputes and chargebacks. PayPal charges a $20 chargeback fee on card transactions that were not processed through a buyer's PayPal account or guest checkout. For disputes on transactions through PayPal accounts or checkout, the dispute fee is $15 (standard) or $30 (high volume).

Payouts. Money lands in your PayPal balance. A standard transfer to a linked bank account is free, and PayPal's help center gives about one business day as the usual arrival time (it can take longer). Instant transfers cost 1.5% (minimum 50¢).

Who it is for. Online sellers whose customers expect a PayPal or Venmo button, and in-person sellers who want the lowest flat in-person rate here.

Who should skip it. Businesses with many small online orders: the 49¢ fixed fee is a large share of a $10 sale.

Helcim: full review

What it is. Helcim is a payment processor with interchange-plus pricing and no monthly fee. It covers in-person, online, invoicing, recurring and ACH payments.

Key features.

  • Interchange-plus with volume discounts. You pay interchange (set by the card networks) plus Helcim's markup, which drops automatically as your three-month average volume rises.

  • Fast deposits. Next-business-morning deposits on credit and debit transactions at no charge, with gross or net deposit options.
  • Hardware. Helcim Card Reader $199; Helcim Smart Terminal $349 or $32/month for 1 year; Tap to Pay on iPhone adds 10¢ per transaction; optional 4G data is $7/month.

Pricing. $0 monthly fee, and no signup, PCI, statement or cancellation fees. Markups on top of interchange (in person / keyed and online):

Monthly volumeIn personKeyed and online

$50K to $100K0.35% + 7¢0.45% + 20¢

$500K to $1M0.20% + 6¢0.25% + 15¢
$1M to $5M0.15% + 6¢0.15% + 15¢

Recurring payments add 0.4%. Chargebacks cost $0 if resolved in your favor and $15 if lost.

Who it is for. Small businesses with steady card volume that want lower costs than flat-rate processors without committing to a monthly subscription.

Who should skip it. Businesses that need to know their exact fee for every sale in advance, since interchange varies by card.

Stax: full review

What it is. Stax (Stax Pay) is a payment processor that charges a monthly subscription instead of a percentage markup. You pay the card networks' interchange cost directly, plus a small fixed fee per transaction.

Key features.

  • No markup on interchange. Stax lists 0% markup on direct-cost interchange.
  • Included tools. Invoicing, payment links and QR codes, hosted payment pages, Text2Pay, recurring billing, card updater, accounting reconciliation and unlimited users.
  • Funding. Next business day funding.
  • Surcharging. A compliant surcharging program where eligible: cardholders pay a credit card surcharge, and debit card transactions cost the merchant 1.25% + $0.25.

Pricing.

  • Subscription: $99/month for up to $150,000 a year in processing; $139/month for $150,000 to $250,000; $199+/month above $250,000.
  • Card present: interchange + $0.08 per transaction.
  • Card not present (keyed or online): interchange + $0.15 per transaction.
  • ACH: 1% per transaction, capped at $10.
  • Terminal protection plan: $19/month (optional).

Stax's pricing page does not list hardware prices or a chargeback fee, so we have left those out.

Who it is for. Established businesses with enough card volume that a fixed subscription costs less than a percentage markup.

Who should skip it. New or seasonal businesses with low volume, where $99 a month is a large share of fees.

Authorize.net: full review

What it is. Authorize.net is a long-running payment gateway: the software that passes card data from your website or billing system to a merchant account. You can bring your own merchant account or use the All-in-one plan, which includes one.

Key features.

  • Works with your merchant account. The Gateway only plan lets you keep a merchant account you have negotiated elsewhere, including interchange-plus pricing.
  • Fraud and billing tools included. Advanced Fraud Detection Suite, Automated Recurring Billing and Customer Information Manager have no monthly fee. Account Updater costs $0.25 per update.
  • eCheck. ACH payments through eCheck.Net for US-based businesses.

Pricing. No setup fee on any plan.

  • All-in-one: $25/month plus 2.9% + 30¢ per transaction (subject to eligibility).
  • Gateway only: $25/month plus 10¢ per transaction and a 10¢ daily batch fee.
  • Gateway + eCheck: $25/month; eCheck 0.75% with a $10 monthly minimum, $3 per returned item and $25 per eCheck chargeback; cards at 10¢ per transaction plus the 10¢ daily batch fee.

The gateway chargeback fee is $0. Authorize.net says funds typically arrive 2 to 3 business days after your daily batch settles, depending on your merchant service provider. There is no gateway contract or early termination fee; a merchant account opened through All-in-one may have separate terms.

Who it is for. Businesses with an existing merchant account, B2B sellers who need eCheck, and teams whose shopping cart or billing software expects Authorize.net.

Who should skip it. Small or new sellers who could use a processor with no monthly fee, and in-person businesses, since Authorize.net does not publish in-person processing rates.

Cost comparison: $10,000 a month at a $50 average sale

This example assumes $10,000 in monthly card sales across 200 transactions of $50, all domestic US cards. Flat-rate totals are exact arithmetic from the published rates. For Helcim and Stax we show only the published markup and subscription; you also pay interchange, which depends on your customers' card types, so we do not estimate it.

What the numbers show:

  • Fixed fees matter at small tickets. PayPal's 49¢ online fixed fee costs $98 a month at 200 transactions, compared with $60 at a 30¢ fee.
  • Square's paid plans need a reason beyond processing. At this volume, Square Plus costs more than Square Free in person and online; the plan fee pays for POS features, not cheaper processing.
  • Interchange-plus can be much cheaper, but compare real statements. Helcim's and Stax's markups are low, but interchange on rewards and business cards can be well above 2%. Ask for a quote based on a recent statement before switching.
  • Payout fees are extra. If you use instant payouts, add 1.95% (Square) or 1.5% (Stripe and PayPal) of the amount transferred.

How to choose

If you mainly sell in person and want to start today, Square Free or PayPal POS. Square has more hardware and no dispute fee; PayPal has the lower in-person rate.

If you mainly sell online or need custom checkout, Stripe. Add PayPal as a second button if your customers ask for it.

If you process steady volume and want lower costs, get quotes from Helcim (no monthly fee) and Stax (subscription). As a rough guide, a subscription makes more sense the higher your volume.

If you already have a merchant account or need a specific gateway, Authorize.net Gateway only.

If you invoice large B2B amounts, compare ACH caps: Stripe $5, Helcim $6, Square $10 on paid-plan invoices, PayPal $10 on invoices, Stax $10. Authorize.net's eCheck has no cap at 0.75%.

Before you switch, check contract terms, chargeback fees, payout timing and whether you can export saved customer cards. Card data migration is not always possible or free.

Conclusion

For most small businesses, Square is the safest starting point: $0 a month, published flat rates, online and in-person on one account, no fee for dispute management and cheap hardware. Stripe is the better fit for online-first businesses and anyone building a custom checkout. PayPal earns its place when buyers want PayPal or Venmo, and it has the lowest flat in-person rate in this comparison. Helcim and Stax can lower costs for businesses with steady volume through interchange-plus pricing, and Authorize.net remains a solid gateway for businesses with their own merchant account.

Run your own numbers with your real average sale and channel mix before you decide. The cheapest processor at a $50 average sale is not always the cheapest at $8 or $800.

Frequently asked questions

It depends on how you sell. In our $10,000 a month example with $50 sales, PayPal POS was the cheapest flat-rate option in person ($247) and PayPal Advanced Credit and Debit Card Payments, Stripe and Square's Online API were the cheapest online ($347 to $350). Interchange-plus processors such as Helcim and Stax can cost less at steady volume, but their total depends on interchange for your card mix.
