QuickBooks lists monthly prices with no annual contract and offers a 30-day free trial. The Free plan has no mobile app, no integrations and no accountant access, so most businesses will treat Simple Start as the real starting point.
Xero plans
| Plan | Regular | First 3 months | Users | What it adds |
|---|---|---|---|---|
| Early | $27/month | $5.40/month | Unlimited | Quotes, 20 invoices and 5 bills a month, bank reconciliation, Smart Document Capture, sales tax, W-9/1099, 30-day cash flow forecast, free ACH bill payments; auto-reconcile is $5/month extra |

Xero's 80% discount needs its US offer code, applies only to your first organization, and does not cover add-ons, usage or payment fees. Subscriptions auto-renew monthly, and Xero notes you can only move to a cheaper plan one month after upgrading.
First-year cost with intro offers
| Comparable tier | QuickBooks | Xero |
|---|---|---|
| Entry (Simple Start vs Early) | 3 x $19 + 9 x $38 = $399 | 3 x $5.40 + 9 x $27 = $259.20 |
| Small team (Essentials vs Growing) | 3 x $42.50 + 9 x $85 = $892.50 | 3 x $11.80 + 9 x $59 = $566.40 |
| Full feature (Plus vs Established) | 3 x $70 + 9 x $140 = $1,470 | 3 x $19.40 + 9 x $97 = $931.20 |
From year two you pay the regular price: $456, $1,020 and $1,680 a year for QuickBooks Simple Start, Essentials and Plus, against $324, $708 and $1,164 for Xero Early, Growing and Established.
Users and permissions
This is the single biggest difference. QuickBooks caps users on every plan: 1 on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced. Each paid plan also allows 2 accountant users (3 on Advanced). Essentials adds time-tracking-only access for employees and contractors, and Plus adds reports-only users, but anyone who needs to enter transactions counts toward the cap. Custom user permissions are an Advanced feature.
Xero says every plan includes unlimited users at no extra cost. Your bookkeeper, your accountant, a part-time office manager and a sales lead who sends quotes can all have their own login on the $27 Early plan.
What it means. A business with four people in the books needs QuickBooks Plus ($140/month) or any Xero plan. A business with six needs QuickBooks Advanced ($340/month) or any Xero plan.
Invoices, bills and caps
QuickBooks paid plans have no invoice or bill caps listed. The Free plan allows 2 invoices a month unless you take payments through QuickBooks Payments. Essentials adds bulk invoice creation, and Advanced adds batch invoices and expenses.
Xero Early allows quotes but only 20 invoices and 5 bills a month, and Xero says the invoice limit applies to both approving and sending invoices. Growing and Established have no caps. In practice, Early suits a freelancer or a new business; most established businesses will start on Growing.
Online invoice payments. QuickBooks Payments rates on Intuit's rates page are 2.99% for invoiced card payments, 2.5% for swiped or tapped, 3.5% for keyed cards, and 1% for ACH, with no monthly fee. Xero accepts online invoice payments on every plan, with fees set out on the Stripe pricing page that Xero links to; check the current rate before you compare.
Bank feeds and reconciliation
Both connect to US bank and card accounts and suggest matches for reconciliation. QuickBooks Free connects one bank; paid plans have no stated limit. QuickBooks markets automated categorization on Simple Start and up, and Plus adds AI-assisted reconciliation features.
Xero includes bank reconciliation on all plans. Auto-reconcile (Xero matching transactions without you clicking through each one) is included on Growing and Established and costs $5/month on Early. Smart Document Capture is included on every plan for pulling in bills and receipts.
Bills and bill pay
QuickBooks includes Bill Pay on paid plans. Standard ACH payments are free up to a monthly allotment, then $0.50 each. Bill Pay Premium ($15/month) and Bill Pay Elite ($45/month) add more, and Elite (with approval workflows and free 1099 e-filing) is included with Advanced. Checks cost $1.50 each and Faster ACH $10.
Xero includes free standard ACH bill payments on every plan. Same-day ACH and cross-border payments carry fees, and international bill payments are available on Established (payment fees apply).
What it means. If you pay many vendors by ACH, Xero's free ACH on every plan is simpler. If you want bill approvals, QuickBooks Advanced bundles them.
Payroll
QuickBooks sells payroll as QuickBooks Workforce bundles that include the accounting plan:
| Bundle | Regular | First 3 months | Per employee | Notes |
|---|---|---|---|---|
| Workforce Payroll + Simple Start | $88/month | $44/month | $6.50 | Full-service payroll, next-day direct deposit |
| Workforce Payroll + Essentials | $125/month | $62.50/month | $6.50 | Same-day direct deposit, 3 accounting users |
| Workforce Premium + Plus | $203/month | $101.50/month | $10 | Same-day deposit, HR tools (hiring, onboarding, time off, I-9), time tracking |
Intuit says all three include full-service payroll, with tax calculation, filing and payment handled by QuickBooks.
Xero does not run its own US payroll. Xero Payroll, powered by Gusto, is an add-on on any plan for $36/month plus $6 per employee or contractor.
Ten-employee example. QuickBooks Workforce Payroll + Essentials: $125 + 10 x $6.50 = $190/month. Xero Growing plus Gusto payroll: $59 + $36 + 10 x $6 = $155/month. QuickBooks keeps everything in one product and one bill; Xero is cheaper and uses Gusto's payroll tools.
Inventory
QuickBooks includes inventory on Plus and Advanced. Intuit's plan overview says it uses FIFO valuation, with stock level monitoring and purchase orders. If you need inventory, the QuickBooks starting point is $140/month.
Xero includes built-in tracked inventory: Xero says you can track up to 4,000 items by quantity and value, with automatic cost of goods sold, using average cost. Built-in tracking does not handle multiple locations. Inventory Plus, an add-on for Growing and Established, connects Shopify and Amazon FBA stores and adds purchase orders, reorder points, partial receipts and shipping. Xero does not list the Inventory Plus price on its pricing page.
What it means. For a small product catalog in one location, Xero Growing ($59/month) is far cheaper than QuickBooks Plus. If you need FIFO or classes and locations, QuickBooks Plus fits better. For deeper inventory, both rely on add-ons or apps.
Multicurrency
QuickBooks includes multicurrency on Essentials, Plus and Advanced, not Simple Start. Intuit's help center warns that once multicurrency is on you cannot turn it off or change your home currency, that QuickBooks Bill Pay and QuickBooks Payments are not compatible with it, and that it turns off the cash flow planner.
Xero includes multicurrency only on Established ($97/month).
What it means. For a three-person business that invoices in other currencies, QuickBooks Essentials ($85/month) is the cheaper route. If you also want unlimited users or more than three users, Xero Established ($97/month) undercuts QuickBooks Plus ($140/month).
Projects, time and expenses
QuickBooks Essentials lets you add employee time to invoices. Plus adds project profitability and billable expenses, and Advanced adds construction and advanced project financials. Mileage tracking is available to the account's master administrator.
Xero puts project time and cost tracking, plus employee expense and mileage claims, on Established.
Reporting and forecasting
QuickBooks reporting grows by plan: Intuit's plan overview lists over 20 reports on Simple Start, over 40 on Essentials and over 65 on Plus. Plus adds budgets; Advanced adds custom KPIs, custom dashboards and Excel sync.
Xero gives every plan real-time reports and a cash flow forecast (30 days on Early, 60 on Growing, 180 on Established). Growing adds custom dashboards, financial health scorecards and 3 budgets. Established adds KPI and ratio analysis, industry benchmarking and budgets without Growing's 3-budget limit.
What it means. Xero gives more forecasting and dashboarding at lower prices. QuickBooks Advanced is stronger for custom reporting in Excel.
Apps and integrations
Xero says it connects to more than 1,000 certified apps, and it leans on them for payroll (Gusto), deeper inventory and industry tools. QuickBooks has its own large app marketplace, but the Free plan does not allow integrations. Both connect to the major payment, e-commerce, CRM and expense tools; check that the specific app you rely on supports your plan.
Accountants and bookkeepers
QuickBooks has the larger US accountant base. Accountants work through QuickBooks Online Accountant and Intuit's ProAdvisor program, and you can search Intuit's ProAdvisor directory for a certified bookkeeper. Xero has its own partner program and advisor directory.
In practice, ask your accountant. If they work in QuickBooks, you will usually pay less for their time on QuickBooks. On Xero, you can add them at no extra cost because users are unlimited.
Mobile apps
Both offer mobile apps on paid plans for invoicing, receipts and checking bank activity. Xero describes its mobile app as free. The QuickBooks Free plan does not include the mobile app.
Support and onboarding
QuickBooks offers chat support on the Free plan, phone support during the 30-day trial for Simple Start and above, and priority support on Advanced. Xero offers free guided onboarding with a product specialist for the first 90 days, plus online support.
Switching between QuickBooks and Xero
QuickBooks to Xero. Xero says it is free to migrate your current and prior fiscal year of QuickBooks transaction data through its conversion partner, Jet Convert. Your chart of accounts, contacts and historical transactions such as invoices and bills come across. More than two years of data may cost extra. Payroll data does not migrate, and Xero suggests keeping your old QuickBooks file for IRS records. You can also start fresh with opening balances, or use Xero's Conversion Toolbox to import CSV files.
Xero to QuickBooks. Intuit partners with Dataswitcher. Up to two fiscal years of core data convert at no charge; extra years, inventory items and tracking categories cost more. The QuickBooks company file must be blank. Your QuickBooks plan must match your data: Plus or Advanced for inventory or classes, Advanced for more than 250 accounts or 40 classes. Budgets, bank reconciliation history, attachments, templates, payroll data and project details do not convert.
Tips for either direction. Reconcile every bank account first, export your trial balance, aged receivables and payables and sales tax reports for checking, and switch at a quarter or year end so payroll and sales tax filings line up.
What it costs: five common setups
Regular monthly prices after intro offers end:
| Setup | QuickBooks | Xero | Cheaper |
|---|---|---|---|
| Solo, under 20 invoices and 5 bills a month | Simple Start $38 | Early $27 (+$5 for auto-reconcile) | Xero |
| 3 users, unlimited invoices | Essentials $85 | Growing $59 | Xero |
| 3 users, invoices in other currencies | Essentials $85 | Established $97 | QuickBooks |
| 6 users with simple inventory | Advanced $340 | Growing $59 | Xero |
| 3 users plus payroll for 10 employees | Workforce Payroll + Essentials $125 + $65 = $190 | Growing $59 + Gusto $36 + $60 = $155 | Xero |
Example businesses: which one fits
These are illustrative profiles, priced with the regular US list prices above.
A two-person design studio. The owners send 30 to 40 invoices a month, pay a handful of contractors and file 1099s. Xero Early is too tight on invoices, so the choice is Xero Growing at $59/month or QuickBooks Essentials at $85/month (QuickBooks Simple Start covers only one user). Xero includes W-9 and 1099 management on every plan. Xero is $312 a year cheaper. If the studio mostly bills hours, FreshBooks is also worth a look.
A four-person online shop with 300 products. The owner, a part-time bookkeeper, an operations lead and the outside accountant all need access, and stock must be tracked. QuickBooks needs Plus at $140/month for inventory; the accountant uses one of the 2 accountant seats, and the three staff use 3 of the 5 user seats. Xero Growing at $59/month covers everyone and tracks up to 4,000 items, but the shop sells on Shopify, so it should price Inventory Plus or another inventory app before deciding. If the shop needs FIFO costing, QuickBooks Plus is the direct fit.
A contractor with 10 employees on payroll. Three people work in the books. QuickBooks Workforce Payroll + Essentials comes to $190/month with full-service payroll and same-day direct deposit in the same product. Xero Growing with Gusto payroll comes to $155/month. If the contractor wants job costing beyond project profitability, QuickBooks Advanced (construction financials) or Sage 50 (advanced job costing on Premium) are the upgrade paths.
A three-person importer that pays suppliers in euros. Multicurrency is the deciding feature. QuickBooks Essentials at $85/month includes it; Xero needs Established at $97/month, which adds projects, expense claims and international bill payments. Remember that QuickBooks multicurrency cannot be turned off and does not work with QuickBooks Payments or Bill Pay, so the importer would take card payments and pay bills another way.
Upgrade paths and lock-in
QuickBooks has five steps (Free, Simple Start, Essentials, Plus, Advanced), and the jumps get large: $85 to $140 is a $55 step, and $140 to $340 is a $200 step. Most upgrades are triggered by users (more than 1, 3 or 5) or by a feature (multicurrency, inventory, workflow automation). Xero has three steps, and because users are unlimited, upgrades are triggered only by invoice volume (Early to Growing) or by features (multicurrency, projects, expense claims on Established).
Both let you move up at any time. Xero says you can only move to a cheaper plan one month after upgrading. QuickBooks lists no annual contract on its pricing page. Neither locks you in with a contract, but your data does: each migration path converts about two fiscal years at no charge and leaves some history behind, so the cheapest switch is the one you make before you have years of records.
Who should pick QuickBooks, and who should pick Xero
Pick QuickBooks if:
- You want payroll, payments, bill pay and accounting in one product with one support line.
- You need multicurrency for three or fewer users (Essentials, $85/month).
- You need FIFO inventory, purchase orders and classes or locations (Plus).
- Your accountant works in QuickBooks Online Accountant.
- You expect to need approval workflows, custom permissions and Excel sync (Advanced).
Pick Xero if:
- More than three people need access, now or soon.
- You want to keep monthly costs low and avoid upgrade jumps.
- You pay many vendors by ACH and want it free on every plan.
- You are happy to use Gusto for payroll.
- You sell a small product catalog from one location and want basic inventory without a $140 plan.
Alternative: FreshBooks
FreshBooks is built around invoicing for service businesses. Lite is $23/month (5 billable clients), Plus $43/month (50 clients) and Premium $70/month (unlimited clients), billed monthly, with an 80% off for 4 months offer and an extra 10% off for yearly billing. Team members cost $11/month each and payroll $40/month plus $6 per user. Pick it over QuickBooks or Xero if you bill clients for time and want the simplest invoicing; skip it if you hold inventory or need deeper accounting.
Alternative: Zoho Books
Zoho Books is free for businesses under $50K in yearly revenue. Paid plans run from $15/month billed annually ($20 monthly) for Standard with 3 users, to $40/month annually ($50 monthly) for Professional with 5 users, multicurrency and inventory. Every plan has yearly invoice and bill caps, and payroll is not part of Zoho Books. It is the cheapest way to get multicurrency and inventory, and a good fit if you already use Zoho CRM.
Alternative: Wave
Wave's Starter plan is free with unlimited invoices and bills; Pro is $19/month or $190/year and adds automatic bank imports, receipt capture and extra users. Payroll costs $40/month plus $6 per employee and $6 per contractor paid. Wave suits sole proprietors who have outgrown spreadsheets but not their budget.
Alternative: Sage 50
Sage no longer sells its cloud product, Sage Business Cloud Accounting, in the US; it was retired at the end of 2024. Sage 50 (cloud or desktop) starts at $1,448/year or $132.17/month for one user with a one-year commitment, and includes FIFO and LIFO inventory and job costing on every plan. Consider it if inventory or job costing depth matters more to you than price or a modern interface.
Common mistakes when choosing
- Comparing intro prices. Both run large first-three-month discounts. Compare regular prices for a full year.
- Ignoring user caps. A QuickBooks plan that fits today may not fit after your next hire.
- Turning on QuickBooks multicurrency too early. It cannot be turned off, and it is not compatible with QuickBooks Payments or Bill Pay.
- Starting on Xero Early without counting invoices. Twenty invoices a month goes quickly.
- Forgetting payroll. For a team with employees, payroll often costs more than the accounting plan.
- Not testing your bank connection. Connect your real bank and card accounts during the QuickBooks trial or the first discounted Xero month, and check that transactions come through cleanly.
- Buying a plan for one feature. Before moving to QuickBooks Advanced or Xero Established for a single feature, check whether an app or add-on (such as Inventory Plus, Gusto payroll or a bill pay tier) covers it for less.
- Leaving your accountant out. Invite them during the trial. They will spot setup problems with the chart of accounts, sales tax and opening balances that are expensive to fix later.
Final recommendation
QuickBooks is the better choice for US businesses that want an all-in-one system with payroll, payments, bill pay and inventory under one roof, and for anyone whose accountant works in QuickBooks. Xero is the better choice for most teams on cost: unlimited users, no invoice caps from $59/month, free ACH bill payments, and lower prices at every comparable tier. If you are a solo service business, look at FreshBooks or Wave; if you need multicurrency on a tight budget, look at Zoho Books.
