Zoho CRM is one of the cheapest full-featured CRMs on the market. Its pricing page lists a free edition for up to 3 users and paid editions from $14 per user per month, billed annually. For many small and mid-sized teams that price is the reason they picked it. It is rarely the reason they leave.
Teams look for a Zoho CRM alternative for a handful of recurring reasons: the interface has a lot of menus and settings to learn, someone ends up spending hours a week on admin, support beyond the included Classic plan costs extra, useful features sit behind the Professional or Enterprise edition, and companies on Zoho One find that leaving one app means rethinking a bundle. This page compares six alternatives against those reasons: HubSpot Sales Hub, Pipedrive, Freshsales, Agentforce Sales (formerly Salesforce Sales Cloud), Close and Copper.
All prices below are USD list prices taken from each vendor's pricing page in October 2026. We also cover migration: how Zoho CRM's own export and backup tools work, according to Zoho's help docs, and whether each alternative documents a way to bring Zoho data in.
Comparison Table
| Tool | Starting price | Free plan / trial | Best for | Standout feature |
|---|---|---|---|---|
| Zoho CRM | $14/user/month (billed annually) | Free for 3 users; 15-day trial | Budget teams that want deep features | Blueprint process management (Professional and up) |
| HubSpot Sales Hub | $7/seat/month (billed annually, new-customer offer) | Free HubSpot CRM, up to 2 users | Teams that want marketing and sales together | Smart Transfer import from Zoho CRM |
| Pipedrive | $14/seat/month (billed annually) | 14-day trial, no card | Pipeline-focused sales teams | Visual pipeline with automations on Growth |
| Freshsales | $9/user/month (billed annually) | 21-day trial | Like-for-like swap at a similar price | Built-in Zoho CRM importer |
| Agentforce Sales | $25/user/month (Starter Suite) | Free Suite, up to 2 users; 30-day trial | Complex orgs that outgrew Zoho | Most customizable platform here |
| Close | $9/user/month (billed annually, 1 user) | Free trial, no card | Inside sales teams that call and text | Built-in calling, SMS and power dialer |
| Copper | $23/seat/month (billed annually) | Free trial | Google Workspace teams | Works inside Gmail and Google Calendar |
Why People Leave Zoho CRM
Before picking a replacement, it helps to name the problem. Each reason below points to a different alternative.
The interface and setup feel heavy
Zoho CRM covers a lot: leads, contacts, accounts, deals, inventory, cases, portals, territories, analytics, AI and developer tools. That breadth is why it can replace several tools, and also why new users can feel lost. Reviewers on G2 often mention a learning curve and setup that needs technical knowledge. If your reps mostly need a pipeline, a calendar and email, a narrower tool such as Pipedrive, Copper or Close usually means less to learn.
Admin time
The more you customize Zoho CRM (layouts, validation rules, Blueprints, workflow rules, custom functions), the more someone has to maintain it. That is not a Zoho flaw so much as the cost of flexibility. If nobody on your team wants to be the CRM admin, look for tools with fewer moving parts. If you want even more control and can fund an admin, Agentforce Sales goes further than Zoho.
Support costs extra beyond the basics
Zoho's support plans page lists Classic support as included with paid editions: email, phone, chat or remote sessions, 8 hours a day, 5 days a week, with an 8-hour initial response time. Premium support costs 20% of your subscription fee and offers 24-hour support 5 days a week with a 3-hour initial response. Enterprise support is 25% of the annual subscription with a 50-user minimum. The free edition gets Basic support only. If you want faster help without paying a percentage on top, compare what each alternative includes on the plan you would buy.
Feature gates by edition
Zoho CRM's edition comparison page shows where the important features sit:
- Free: 3 users, 5,000 records, 10 email templates, no custom fields, no mass email, no data backup.
- Standard ($14/user/month billed annually): multiple pipelines, sales forecasting, mass email, multiple currencies, scoring rules, 100 custom reports, 10 custom fields per module and 2 free data backups a month.
- Professional ($23): Blueprint (3 active Blueprints), assignment rules, inventory (quotes, sales orders, invoices), cases, macros, validation rules, unlimited reports and 155 custom fields per module.
- Enterprise ($40): custom buttons, approval processes, sandbox, page layouts, layout rules, subforms, territory management, CommandCenter, Zia AI features and client scripts.
- Ultimate ($52): higher limits across the board, including more Blueprints, more sandboxes and 4 free data backups a month.
Many teams start on Standard and find that the feature they need (approval processes, Zia predictions, territory management or sandboxes) is two editions up. The jump from $14 to $40 per user is still cheaper than most rivals' equivalent tiers, but it changes the math that made Zoho attractive.
Zoho One lock-in
Zoho One bundles Zoho CRM with dozens of other Zoho apps. Its pricing page lists two models: All Employee pricing at $37 per employee per month billed annually, which requires you to buy licenses for all employees on payroll, and flexible user pricing at $90 per user per month billed annually. If you run your books, help desk and email on Zoho One, replacing only the CRM rarely saves money, because you keep paying for the bundle. Check which other Zoho apps you depend on before you plan a CRM move.
Migration Notes: Getting Your Data Out of Zoho CRM
Zoho documents two ways to get data out.
Module export. According to Zoho's "Export CRM Data" help page, users with the Export permission in their profile can export module data as CSV or XLSX. A CSV export holds up to 200,000 records per module in one go, and an XLSX export up to 50,000. The number of exports per day depends on the edition: 10 on Free, 100 on Standard, 250 on Professional, 500 on Enterprise and 1,000 on Ultimate. The download link stays available for seven days.
Data backup. For a full copy, Zoho's "Requesting Data Backup" help page says users with the administrator profile can request a backup from Setup > Data Administration > Data Backup. The data comes as CSV files in a ZIP archive, with attachments in a separate archive. The page notes that email content and email attachments, plus Documents, are not included. The free edition has no included backups, Standard, Professional and Enterprise include two a month, and Ultimate includes four. Extra backups are charged per request. The backup download link is active for up to 7 days.
Plan the move: request a full backup first, keep the ZIP files, then use module exports for anything you need to re-pull. Decide early what happens to email history, since Zoho's backup excludes email content.
How each alternative handles a Zoho import is covered in its section below.
Pipedrive
Pipedrive is the most common destination for sales teams that find Zoho CRM too broad. It is built around the deal pipeline, and most of its features exist to move deals from one stage to the next.
Why it fits Zoho leavers
If your complaint is interface complexity or admin time, Pipedrive answers both. The plan structure is short, and its pricing page describes each tier in a few lines. Automations and email sequences arrive on Growth, the second tier, rather than sitting several editions up.
Key features and plan gates
Pipedrive's pricing page lists four plans, all per seat per month, billed annually:
- Lite ($14): lead, calendar and pipeline management, AI report creation, 500+ integrations and the Pipedrive Nova meeting intelligence tool.
- Growth ($39): full email sync with open and click tracking, bulk email, automations and nurturing sequences, subscriptions and forecast reports, a meeting scheduler and contact timeline.
- Premium ($59): LeadBooster lead capture with automatic routing, custom scoring and company data enrichment, AI email tools with shared team inboxes, contracts and e-signatures, required and pipeline-specific fields, formula fields and group-level permissions.
- Ultimate ($79): security rules and alerts, IP and time-based access restrictions, phone and email enrichment, a sandbox account and extended phone support.
Every plan comes with a free 14-day trial, and no credit card is required. There is no free plan. Pipedrive's prices are VAT exclusive.
Note the Premium price: earlier in 2026 it was listed at $49. Pipedrive's pricing page now shows $59 per seat per month billed annually.
Migrating from Zoho CRM
Pipedrive's help center has an article on migrating from a previous CRM with Import2, and Zoho CRM is on its list of supported sources. The article says Import2 offers a free migration of up to 1,000,000 records, with paid migrations for larger databases, and that the import is available to trialing and paying accounts. You can also import spreadsheets directly.
Pros
- Clear, pipeline-first interface that new reps pick up quickly
- Automations and sequences from the second tier
- Documented free Zoho CRM migration through Import2 up to 1,000,000 records
- Large integration marketplace
Cons
- No free plan
- Lead routing, scoring and permissions need Premium at $59
- Fewer built-in modules than Zoho (no native help desk or inventory)
- Sandbox only on Ultimate
Who should use it, who should skip it
Use Pipedrive if you sell through a defined pipeline and want reps in the CRM daily without training. Skip it if you rely on Zoho's inventory, cases or portals, because Pipedrive does not try to cover those.
HubSpot Sales Hub
HubSpot Sales Hub runs on the HubSpot customer platform. Its free tier is the free HubSpot CRM, which is often how teams start, and it shares a database with HubSpot's marketing and service tools.
Why it fits Zoho leavers
HubSpot suits teams leaving Zoho because sales and marketing data live in different places, or because they want a CRM people find easy to adopt. HubSpot is the strongest option here for connecting marketing to sales. It is not the cheapest once you need the Professional tier.
Key features and plan gates
HubSpot's Sales Hub pricing page lists:
- Free: free HubSpot CRM tools for up to 2 users, no credit card required.
- Starter: $7 per seat per month paid annually or $10 month-to-month, shown as a limited-time offer for new customers; the regular price is $20 per seat per month. Starter includes up to 50 workflows with restricted triggers and actions and up to 15 pipelines across object types. It does not include sequences.
- Professional: $90 per seat per month billed annually or $100 billed monthly, plus a one-time $1,500 onboarding fee. It adds sequences (up to 500 email sends per user per day), up to 300 fully customizable workflows, up to 100 pipelines, default and custom forecasting, and up to 100 custom reports.
- Enterprise: $150 per seat per month billed annually, plus a one-time $3,500 onboarding fee. It raises limits to 1,000 workflows, 350 pipelines and 500 custom reports, and adds forecasting across team hierarchies.
Plans also include HubSpot Credits (500 on Starter, 3,000 on Professional, 5,000 on Enterprise) for AI and data features.
Migrating from Zoho CRM
HubSpot's knowledge base article "Transfer data from other apps using HubSpot Smart Transfer" lists Zoho CRM among the supported apps and says Smart Transfer is available on all products and plans. Only Super Admins can use it, and transferring custom field mappings requires a Data Hub subscription. The article says the sync keeps running in the background after the initial transfer to keep records up to date. You can also import CSV files.
Pros
- Free CRM for up to 2 users to test before paying
- Smart Transfer lists Zoho CRM as a source on all plans
- Strongest marketing and sales connection in this list
- Up to 50 workflows already on Starter
Cons
- Professional costs $90 per seat billed annually plus a $1,500 onboarding fee
- The $7 Starter price is a limited-time new-customer offer
- Forecasting and fully customizable workflows need Professional
- Costs climb quickly when you add Marketing Hub or more seats
Who should use it, who should skip it
Use HubSpot if marketing and sales need one shared record and you are willing to pay for Professional when automation matters. Skip it if price was your main reason for choosing Zoho; a 10-person team on Professional pays several times what Zoho Professional costs.
Freshsales
Freshsales is Freshworks' sales CRM. It is the closest like-for-like replacement for Zoho CRM on this list: similar price points, similar breadth (workflows, sequences, territories, custom modules) and a cleaner interface.
Why it fits Zoho leavers
If you like Zoho's value but want a simpler interface, Freshsales keeps the bill in the same range. The paid tiers line up with Zoho's: Growth against Standard, Pro against Professional, Enterprise against Enterprise.
Key features and plan gates
The Freshsales pricing page lists three plans:
- Growth: $9 per user per month billed annually ($11 billed monthly). Kanban view, contact lifecycle stages, chat, email and phone, email templates, custom fields and basic workflows.
- Pro: $39 per user per month billed annually ($47 billed monthly). Adds contact scoring, deal insights, custom sales activities, territory management and sales sequences.
- Enterprise: $59 per user per month billed annually ($71 billed monthly). Adds forecasting insights, field-level permissions, custom modules, sandbox and audit logs.
The pricing page lists add-ons on every plan, including branded documents at $19 per user per month and the Freddy AI Agent at $49 per 100 sessions. Freshsales offers a 21-day trial of the full CRM. No free plan is listed on the current pricing page.
Migrating from Zoho CRM
Freshsales has a dedicated Zoho path. Its support article "How to migrate from Zoho, Pipedrive, Insightly, Salesforce, or Salesforce IQ?" says an admin goes to Admin Settings > Data & Import, selects Zoho CRM and uploads a ZIP of exported CSV files. Supported data includes contacts, accounts, deals and activities (tasks, appointments and notes). Imports of up to 25,000 records run immediately; larger imports are queued and generally take 1 to 2 business days. The article notes that up to 10 pipelines can be migrated and the upload limit is 250 MB.
Pros
- Prices close to Zoho's, from $9 per user billed annually
- Built-in Zoho CRM importer that accepts Zoho's ZIP export
- Sequences and territory management on Pro
- Sandbox and custom modules on Enterprise at $59
Cons
- No free plan, only a 21-day trial
- Sequences need Pro; Growth only has basic workflows
- Several AI features are sold as paid add-ons
- Fewer native business apps than the wider Zoho suite
Who should use it, who should skip it
Use Freshsales if you want Zoho-level features and pricing with a tidier interface, and you value a documented import path. Skip it if your company runs on Zoho One apps beyond CRM, because you lose those connections.
Agentforce Sales
Agentforce Sales is Salesforce's sales CRM, formerly called Salesforce Sales Cloud. Salesforce's pricing page still uses the Sales Cloud name in places. It is the most customizable and most expensive option on this page.
Why it fits Zoho leavers
Agentforce Sales is for teams that leave Zoho because they hit its ceiling: complex territories, multi-level approvals, heavy custom objects, a large partner ecosystem or enterprise security needs. It does not fix admin time. Expect to need a Salesforce admin or partner.
Key features and plan gates
Salesforce's sales pricing page lists:
- Free Suite: $0 for up to 2 users.
- Starter Suite: $25 per user per month, billed monthly or annually. Lead, account, contact and opportunity management, built-in sales flows and lead routing, AI email, event and contact sync, and email marketing.
- Pro Suite: $100 per user per month, billed annually. Adds greater customization and automation, sales quoting and forecasting, and access to AgentExchange.
- Core: $195 per user per month, billed annually. Built-in AI, Slack Business+, Tableau Next, Momentum and Premier Success.
- Advanced: $395 per user per month, billed annually. Adds enhanced security, more AI, expanded data capacity, Sales Programs, and Backup & Recover, Archive, Data Detect and Security Center.
- Max: $550 per user per month, billed annually. Adds the full Agentforce suite, Salesforce Spiff, Sales Planning, Salesforce Maps and Slack Enterprise+.
Salesforce offers a free 30-day trial of its editions, and Starter Suite can be trialed for up to 10 users.
Migrating from Zoho CRM
Salesforce documents CSV import through its Data Import Wizard, which handles standard objects such as accounts, contacts and leads, plus custom objects, up to 50,000 records at a time. We did not find a Zoho-specific importer in Salesforce's own help documentation, so plan on exporting Zoho data to CSV and mapping fields yourself or with a partner.
Pros
- Deepest customization and largest app ecosystem here
- Free Suite for up to 2 users and a 30-day trial
- Starter Suite at $25 covers sales, service and marketing basics
- Scales to large, complex sales organizations
Cons
- Pro Suite at $100 is already above Zoho Enterprise ($40)
- Core and above cost $195 to $550 per user per month
- Needs more admin time than Zoho, not less
- No documented Zoho-specific import path
Who should use it, who should skip it
Use Agentforce Sales if Zoho's limits are blocking you and you have budget for licenses and an admin. Skip it if your reason for leaving Zoho is complexity or admin overhead.
Close
Close is a CRM for inside sales teams that live on the phone and in email. Calling, SMS, email and a power dialer are built in rather than added through integrations.
Why it fits Zoho leavers
Zoho CRM lists built-in calling from the Standard edition and many telephony integrations. Close goes further for phone-first teams: SMS, a power dialer, a predictive dialer and live call coaching sit in the same inbox as email, so it fits reps who spend most of the day calling and texting.
Key features and plan gates
Close's pricing page lists four plans, per user per month (billed annually, with monthly in brackets):
- Solo: $9 ($19). For 1 user and up to 10,000 leads. Workflows are not included.
- Essentials: $35 ($49). Unlimited contacts and leads, team collaboration, built-in forms, email, calling and SMS, a centralized inbox and task list. Workflows are not included.
- Growth: $99 ($109). Automated workflows, Chloe (Close's AI agent) in workflows, the power dialer, custom activities and bulk email.
- Scale: $139 ($149). Role-based permissions, lead visibility rules, the predictive dialer, unlimited call recording retention and live call coaching.
Every plan includes AI credits (500 to 2,000 per user per month). Calling is charged by usage. The trial needs no credit card, and Close lists a 30-day money-back guarantee after purchase.
Migrating from Zoho CRM
Close's help article "Migration from another CRM" lists Zoho CRM among the CRMs it supports for automatic import, powered by its partner Import2. Only admins can start the migration. The article says that if you start the import from within Close, in most cases there is no cost. It runs a sample migration first so you can check field mappings before the full import.
Pros
- Calling, SMS, email and dialers built in
- Documented Zoho CRM import through Import2, usually at no cost
- Sample migration lets you check mappings first
- Simple interface built for daily outreach
Cons
- Workflows need Growth at $99 per user billed annually
- Solo is limited to 1 user and 10,000 leads
- Calling is billed on top of the subscription
- Not built for field sales, inventory or service
Who should use it, who should skip it
Use Close if your team does outbound or high-volume inbound calling and email. Skip it if you need workflow automation on a tight budget, since Growth costs more than four times Zoho Professional.
Copper
Copper is a CRM built around Google Workspace. It runs alongside Gmail and Google Calendar through a Chrome extension and syncs email, contacts and files.
Why it fits Zoho leavers
If your team lives in Gmail and finds Zoho CRM's separate interface hard to adopt, Copper puts the CRM where they already work. It is simpler than Zoho and does less, which is the point.
Key features and plan gates
Copper's pricing page lists three plans, per seat per month, paid annually (monthly in brackets):
- Basic: $23 ($29). 2,500 contacts, task automation, pipelines, project management and contact enrichment.
- Professional: $59 ($69). 15,000 contacts, workflow automation, bulk email, reporting and integrations (DocuSign, Mailchimp, QuickBooks, PandaDoc, Slack, Zendesk and others).
- Business: $99 ($134). Unlimited contacts, email series, custom reports, multi-currency and premium support.
Copper's plan comparison help article lists the developer API and team permissions on Professional. Personal onboarding and premium support are available for eligible Business and Professional annual accounts.
Migrating from Zoho CRM
Copper's help article "Export your data from another CRM or Service" includes Zoho CRM in its list of systems, then has you clean the export, split it into companies, people, opportunities and leads, and import CSV or Excel files. You can map Zoho's original creation dates to Copper's "Created At" field. Copper also lists Import2 and MigrateMyCRM as migration integrations.
Pros
- Works inside Gmail and Google Calendar
- Clean interface that reps adopt quickly
- Project pipelines alongside sales pipelines
- Keeps legacy creation dates on import
Cons
- Contact caps on Basic (2,500) and Professional (15,000)
- Workflow automation and the API need Professional at $59
- Email series and custom reports need Business at $99
- Less useful if you run on Microsoft 365
Who should use it, who should skip it
Use Copper if your company runs on Google Workspace and wants a CRM people use without training. Skip it if you need Zoho-style depth such as inventory, cases or territory management.
What It Costs: 3, 10 and 25 Users for a Year
To compare fairly, we priced the plan in each tool that gives you working sales automation (workflows or sequences), since that is where most Zoho users end up. The math is the annual-billing price per user per month × users × 12, plus any required onboarding fee. Taxes, add-ons, calling and AI credits are excluded.
| Tool and plan | Price basis | 3 users | 10 users | 25 users |
|---|---|---|---|---|
| Zoho CRM Professional | $23/user/month, billed annually | $828 | $2,760 | $6,900 |
| Zoho CRM Enterprise | $40/user/month, billed annually | $1,440 | $4,800 | $12,000 |
| Pipedrive Growth | $39/seat/month, billed annually | $1,404 | $4,680 | $11,700 |
| Freshsales Pro | $39/user/month, billed annually | $1,404 | $4,680 | $11,700 |
| Copper Professional | $59/seat/month, paid annually | $2,124 | $7,080 | $17,700 |
| Agentforce Sales Pro Suite | $100/user/month, billed annually | $3,600 | $12,000 | $30,000 |
| Close Growth | $99/user/month, billed annually | $3,564 | $11,880 | $29,700 |
| HubSpot Sales Hub Professional | $90/seat/month, billed annually, plus $1,500 onboarding | $4,740 | $12,300 | $28,500 |
Three things stand out. First, Zoho CRM is still the cheapest way to get automation, even on Enterprise. Second, Pipedrive Growth and Freshsales Pro cost about the same as Zoho Enterprise for 10 users. Third, HubSpot, Close and Salesforce cost two to four times as much, so choose them for a specific capability (marketing alignment, built-in calling or platform depth), not to save money.
If you are on Zoho One, compare these totals with what you would still pay for Zoho One after the move.
How to Choose
Start with the reason you want to leave, then check the plan that solves it.
- "Zoho is too complicated for my reps." Pick Pipedrive or Copper. Pipedrive if your work is deal-driven, Copper if your team lives in Gmail.
- "I spend too much time administering it." Pipedrive or Close. Both have fewer configuration layers. Avoid Agentforce Sales for this reason.
- "I want better support without paying 20% extra." Compare what is included on the plan you would buy. Pipedrive Ultimate lists extended phone support, Copper Business includes premium support, and Zoho's Premium support is 20% of the subscription.
- "The feature I need is two editions up." Price the equivalent tier elsewhere. For sequences, Freshsales Pro and Pipedrive Growth both cost $39. For sandboxes, Freshsales Enterprise is $59 and Pipedrive Ultimate is $79, compared with Zoho Enterprise at $40.
- "I need marketing and sales in one system." HubSpot Sales Hub, starting with the free CRM.
- "Zoho can't do what we need at our scale." Agentforce Sales, with budget for an admin.
- "My reps are on the phone all day." Close.
Then check migration. Freshsales, HubSpot (Smart Transfer), Pipedrive (Import2) and Close (Import2) document a Zoho CRM import path. Copper documents a CSV route with Zoho listed among source systems. Salesforce documents general CSV import.
Finally, run a trial with real data. Export a few hundred records from Zoho, import them, and have two reps work in the new tool for a week before you commit.
Final Recommendations
Pipedrive is the best Zoho CRM alternative for most sales teams. It is easier to learn, needs less admin, unlocks automations and sequences on Growth at $39 per seat billed annually, and documents a free Zoho migration through Import2 for up to 1,000,000 records. Its downsides: no free plan, and lead routing, scoring and permissions need Premium at $59.
Freshsales is the pick if you want to keep Zoho-level pricing and breadth. Pro at $39 includes sequences and territory management, and the built-in Zoho importer takes your ZIP export directly.
HubSpot Sales Hub is the pick when marketing and sales need one system. Start on the free CRM, but budget for Professional at $90 per seat billed annually plus $1,500 onboarding if you need full automation.
Close is the pick for calling-heavy teams, Copper for Google Workspace teams, and Agentforce Sales for organizations that have outgrown Zoho and can fund the admin work.
And if price is what matters most, it is worth looking again at Zoho CRM itself. Moving to Professional or Enterprise, or paying for Premium support, may cost less than any switch.
